Job Description

Job Title: Records Management Specialist

Job Summary:

Hire Talent is seeking a highly organized and detail-oriented Records Management Specialist to join our team. As a Records Management Specialist, you will be responsible for managing the intake, cataloging, and retrieval of physical records at our archive center.

Key Responsibilities:

  • Records Intake & Cataloging: Verify the accuracy of records, ensuring they are properly boxed, labeled, indexed, and logged using our records management system.
  • Records Retrieval & Delivery: Retrieve and deliver physical records upon request from various departments, ensuring proper handling and maintaining the integrity of records.
  • System Management: Operate our records management system; familiarity with transitioning to other systems such as Microsoft Purview is a plus.
  • Records Center Maintenance: Maintain the organization and security of the records center, ensuring proper filing and storage.
  • Administrative Support: Provide general administrative support to the Records Coordinator and other departments as needed.
  • Collaboration: Work closely with the remote Records Coordinator, following their guidance for managing records and handling ad hoc tasks.

Qualifications:

  • Education: A bachelor's degree in Library or Information Sciences is preferred but not required. Equivalent work experience in records management or library sciences will be considered.
  • Experience: 2-5 years of experience in records management, with a focus on filing and organization. Familiarity with records management software is highly preferred. Experience with Microsoft Purview or similar systems is a plus.
  • Key Skills:
    • Strong organizational skills and attention to detail.
    • Diligence in filing and retrieving records.
    • Ability to handle a high volume of requests and tasks without becoming overwhelmed.
    • Familiarity with physical record handling and management processes.

Preferred Experience:

  • Background in office administration, particularly in records or library environments.
