Role Overview:

We are seeking a motivated and dynamic Event Logistics Specialist to join our Event Operations Team. The ideal candidate should possess a passion for travel and networking, exhibit strong multitasking abilities, and demonstrate excellent communication skills while being committed to professional growth.

Your primary responsibilities will include managing various logistical aspects related to the planning, coordination, and execution of all meetings and events. This includes working closely with prominent hotel brands such as Marriott, Hyatt, Hilton, and IHG.

You will oversee group rooming lists and maintain relationships with external vendors, ensuring seamless communication and coordination for all attendees regarding logistical details, including hotel bookings and travel arrangements.

Collaboration with our internal teams, including Production, Delegate Acquisition, and Vendor Sales, will be essential to guarantee an exceptional experience for every participant.


Key Responsibilities:
  • Plan, coordinate, and execute meetings, conferences, seminars, and special events.
  • Manage all phases of event logistics through effective communication, including meeting room layouts, transportation, AV equipment rental, event registration, and on-site execution.
  • Travel nationally throughout the year for multiple events, typically lasting 4-5 days each.
  • Engage with external vendors for A/V, entertainment, lighting, and other event supplies.
  • Create and manage event timelines and attendee profiles using Airtable.
  • Collaborate with internal teams to produce event materials and follow-up activities.
  • Build and maintain relationships with a diverse network of individuals and organizations.

Qualifications:
  • Willingness to travel.
  • Bachelor's degree.
  • Highly organized, detail-oriented, and self-motivated.
  • Ability to work under pressure and manage multiple deadlines.
  • Exceptional follow-up and follow-through skills.
  • Proficient with technology and quick to learn new software applications.
  • Strong professional communication skills, both verbal and written.

Preferred Qualifications:
  • Experience with Airtable, CVENT, Alchemer, and Adalo.
  • Prior experience in group catering or hospitality with major hotel brands.
  • 1-2 years of experience in the Hospitality Industry (internship experience included).
