Job Summary

We are seeking a highly skilled Receptionist to provide exceptional front office support and administrative assistance to our Human Resources and other departments. As the first point of contact for visitors, you will be responsible for managing various office operations, including answering phones, greeting guests, and providing top-notch customer service.

Key Responsibilities
  • Front Office Operations: Manage the front desk, answer phone calls, greet visitors, and provide customer service.
  • Mail and Package Logistics: Sort and distribute incoming and outgoing mail, coordinate transfers with other offices, and maintain accurate records.
  • Office Supplies and Inventory: Order and maintain office supplies, track inventory, and ensure a well-stocked and organized workspace.
  • Parking and Facilities: Manage parking validations, collaborate with facilities on parking passes, and ensure a smooth and efficient parking experience.
  • Event Planning and Coordination: Assist with planning and executing bi-monthly lunches, events, and meetings, ensuring seamless execution and excellent customer service.
  • Clerical and Administrative Tasks: Perform light cleaning, take messages, direct communications to appropriate departments, and assist with special projects and administrative tasks.
  • Confidentiality and Discretion: Handle sensitive information with the utmost care and discretion, maintaining confidentiality and upholding the highest standards of professionalism.
Requirements
  • Administrative Experience: Six months to one year of administrative or customer service experience, or an equivalent combination of education and experience.
  • Technical Skills: Proficient in Microsoft Office applications (Word, Excel, PowerPoint) and previous experience using an HRIS system is a plus.
  • Interpersonal Skills: Excellent interpersonal skills, with the ability to handle sensitive and confidential information with tact and discretion.
  • Attention to Detail: A high level of attention to detail, with the ability to compose, type, and proof materials accurately and efficiently.
  • Problem-Solving: Ability to solve practical problems and think critically in a fast-paced environment.
