Portland, Oregon, United States Cerbo Full time
Job Overview

Company Overview

Cerbo is a rapidly expanding healthcare software-as-a-service (SaaS) organization dedicated to enhancing the medical sector by promoting holistic health and personalized treatment. Our flagship product, Cerbo EHR, is a cloud-based electronic health records (EHR) and patient portal system utilized by healthcare facilities nationwide and internationally. Initially conceived as a side project by developers, Cerbo has evolved into a premier EHR solution for functional medicine and clinics operating on membership or cash-based models. Our unique beginnings influence our approach; we prioritize product excellence, integrity, and support for our clients and team members over mere financial success. Over the past four years, our team has expanded significantly, and thousands of practitioners rely on our services. We are currently seeking a Billing Coordinator to contribute to our dynamic team.

Position Summary

The clinics we serve vary in size, from individual practitioners to larger organizations with over 100 staff members. Our billing team is responsible for the initial phases of onboarding new clients, which includes managing deposits, monitoring our waitlist, and establishing client billing subscriptions.

In addition to setting up monthly billing, the team also assesses changes in clinic personnel and adjusts subscriptions as necessary. This process is currently manual, making it essential for the ideal candidate to be detail-oriented and precise in data management.

Our billing department also handles cancellations, which involves preparing tools for data extraction, guiding clients through the process, and finalizing both their EHR and billing accounts.

Key Responsibilities

  • Track modifications to user accounts and adjust billing subscriptions accordingly.
  • Provide support to clients via email or phone regarding inquiries about invoices, information updates, and staff changes.
  • Maintain records in our internal client management system and manage new client onboarding documentation.
  • Assist in processing client cancellation requests.

Qualifications

  • Strong attention to detail.
  • Ability to seek clarification when necessary.
  • Experience in customer service is advantageous.
  • Comfortable navigating ambiguity; experience in a startup or growth environment is preferred.
  • Project management capabilities.
  • Demonstrated ability to master complex processes.
  • Detail-oriented with a process-driven mindset.
  • Exemplary work ethic, common sense, and follow-through.

Preferred Skills

  • Familiarity with ActiveCampaign.
  • Experience with Adobe Sign.
  • Knowledge of Chargeover.
  • Data entry proficiency.
  • Excel skills.
  • Experience with FreshDesk.
  • Basic understanding of HTML/CSS.
  • Proficiency in Quickbooks.
  • Familiarity with Hubspot.

Compensation and Benefits

  • Competitive salary based on experience.
  • Health and dental insurance.
  • 401(k) plan with company matching.
  • Short-term and long-term disability coverage.
  • Paid time off.
  • Comprehensive remote work tools and processes.
