The Finance and Grants Manager for Global Health is tasked with overseeing a substantial budget of $10 million, providing essential support through financial oversight, grant documentation, and strategic project analysis for the management team. This role involves close collaboration with the entire Global Health division, as well as various departments within the UN Foundation, including Business Services, Budget Reporting, Strategic Planning, and Finance, to ensure the effective execution of all financial, operational, contractual, and grant-related activities.

This position operates on a hybrid schedule.

Key Responsibilities

Financial Oversight

  • Oversee the budget for the Global Health team, monitoring income and expenditures across different projects.
  • Utilize UN Foundation financial systems (including Salesforce and other legacy systems) to manage and analyze budget data in Excel.
  • Ensure accurate distribution of funds and expenses in alignment with donor budgets.
  • Prepare cash flow forecasts and analyze budget discrepancies.
  • Maintain a financial dashboard to track actual versus projected cash flow and budget variances, conducting regular reviews with project leads.
  • Manage consultant deliverables and oversee accounts payable processes, including invoice management.
  • Create high-level funding briefs and project documentation for senior management as required.
  • Model various budget scenarios to assist Global Health leadership in decision-making.
  • Reconcile monthly credit card statements and approve expense reports.

Donor Engagement and Reporting

  • Oversee timelines and processes for donor proposals and reporting.
  • Develop and maintain a comprehensive reporting calendar for the team.
  • Facilitate a collaborative approach to track progress against performance indicators and results frameworks for annual reports.
  • Prepare financial reports in accordance with donor specifications.
  • Engage in discussions with donor representatives to present financial reports and clarify outcomes.
  • Research potential funding sources and assist in proposal development, coordinating with relevant departments to provide necessary programmatic and financial data.
  • Address and resolve challenges related to program and grant execution.
  • Undertake additional projects and responsibilities as assigned.

Grants, Contracts, and Compliance Management

  • Oversee all contracts and grants associated with Global Health initiatives.
  • Collaborate with the central contracts team to draft and amend agreements, ensuring compliance with UN Foundation policies.
  • Facilitate contract negotiations with external parties and guide agreements through internal approval processes.
  • Ensure compliance with UN Foundation policies and donor regulations.
  • Coordinate with donors, vendors, and consultants to ensure timely processing of agreements and reports.
  • Maintain thorough documentation for all agreements to preserve institutional knowledge.
  • Respond promptly to internal inquiries and external audit requests.

Internal Coordination

  • Develop and implement innovative tools and strategies to enhance team workflows and collaboration.
  • Manage the business planning process, preparing necessary updates and revisions.
  • Act as a liaison with various UN Foundation departments to ensure adherence to organizational policies and procedures.
  • Provide exceptional service by delivering accurate information to stakeholders as needed.
  • Maintain familiarity with the UNF agreement process and applicable templates.
  • Draft and review agreements, consulting with the finance/contracts team as necessary.
  • Participate in training sessions to stay informed about current policies and procedures.
  • Utilize the UNF Salesforce database for processing agreements and generating reports.
  • Perform other duties as assigned.
Qualifications
  • Bachelor's degree required; Master's degree preferred.
  • 5-6 years of relevant experience.
  • Strong skills in operations, project management, organization, budgeting, and logistics.
  • Experience managing complex budgets and providing detailed financial reports to donors.
  • Ability to conduct strategic analysis of projects and offer best practice recommendations.
  • Experience drafting various types of agreements (contracts, grants, MOUs).
  • Experience in grants coordination or administrative roles is advantageous.
  • Excellent communication and interpersonal skills.
  • Capacity to manage multiple tasks in a dynamic environment and prioritize effectively.
  • Proven ability to collaborate with team members and other departments efficiently.
  • Capability to lead projects from start to finish and work autonomously.
  • Commitment to continuous learning and synthesizing information.
  • Proficiency in Microsoft Word and PowerPoint, with advanced skills in Excel.
  • Budget assessment will be part of the interview process.
  • Familiarity with the United Nations system and interest in International Development or the non-profit sector is a plus.
  • Ability to adhere to attendance policies.
