Training Program Coordinator

SUMMARY
The Program Specialist plays a crucial role in supporting the Director of Customized Training by assisting in the creation, execution, and assessment of tailored training programs for businesses and industries. This position ensures adherence to relevant state, federal, and institutional regulations while applying sound judgment in accordance with established policies.
DUTIES AND RESPONSIBILITIES
- Collaborate with the Director and the Customized Training Program team to schedule and design training sessions, complete necessary documentation, manage contracts with instructors, and procure required materials.
- Act as a liaison between part-time instructors and the Director, facilitating registration and securing necessary supplies and resources for effective training delivery.
- Represent the institution at the start of training sessions, coordinate instructor schedules, and oversee the registration process, ensuring all course materials are collected post-training.
- Assist in the design and management of training courses, ensuring logistical support for successful program delivery.
- Conduct research to identify and recommend potential instructors upon the Director's request.
- Perform class observations and evaluate instructors to ensure compliance with quality standards and internal audit requirements.
- Maintain precise records, generate reports, and undertake administrative tasks to support the Customized Training Program while adhering to budget constraints.
- Follow established workflows to maintain program integrity and accountability in line with regulatory requirements.
- Uphold all institutional policies and safety regulations at training locations.
- Contribute innovative ideas to enhance the Economic and Workforce Development Division's services to the community.
- Participate in institutional functions and meetings as required.
- Engage in professional development activities to stay informed about industry trends and promote customized training through community outreach and relationship building.
- Exhibit a high standard of professionalism and ethical conduct while maintaining confidentiality and fostering positive relationships with stakeholders.
- Perform additional duties as assigned.
MINIMUM EDUCATION QUALIFICATIONS
- Associate degree (or higher) from a nationally accredited institution is required.
MINIMUM EXPERIENCE QUALIFICATIONS
- One year of experience in an educational or administrative setting is required.
- Proficiency in Microsoft Office Suite and strong organizational skills are essential.
- Experience in workforce development or adult education is preferred.
- Administrative experience is advantageous.
- Strong interpersonal and communication skills are necessary.
- Must possess a valid driver's license and be willing to travel as needed.
PHYSICAL REQUIREMENTS
- Ability to work in a standard office environment, with extended periods of sitting.
- Some physical activity, including walking and lifting up to 25 pounds, may be required.
- Work may involve stressful situations and tight deadlines.
- Flexibility to work outside regular hours, including evenings and weekends, may be necessary.
