We are seeking a highly organized and detail-oriented Business Operations Coordinator to provide administrative support to our Executive Vice Presidents and business groups. As a key member of our team, you will be responsible for coordinating meetings, events, and travel arrangements, as well as managing calendars and ensuring seamless communication across departments.
Key Responsibilities- Meeting and Event Coordination: Arrange internal and external meetings, conferences, and events, including virtual and in-person gatherings.
- Calendar Management: Manage the calendars of two Executive Vice Presidents, ensuring timely scheduling and reminders.
- Travel Coordination: Book travel arrangements, including domestic and international flights, hotels, and car rentals, as well as obtain necessary visas.
- Expense Reporting: Manage time and expense reporting, as well as invoice reconciliation.
- Liaison and Communication: Serve as a liaison for technical support, resolving client office reservations, PC and phone issues, and Intranet/Internet research.
- Project Management: Provide project management support for the two EVPs, including minutes and notes from meetings, follow-up, and daily operations management.
- Minimum 5 Years of Experience: In a professional business support role, with experience in software tools like MS Office, MS Outlook, and Calendar.
- Strong Organizational Skills: Excellent time management skills, responsiveness, and attention to detail.
- Excellent Communication Skills: Strong written and oral communication skills, with the ability to interact with all levels of management and technology business leaders.
- Team Player: A motivated team player with a positive attitude, who works well in a fast-paced environment.
