Job Description

We are seeking a highly organized and efficient Property Reception Administrative Assistant to join our team. This role is essential in providing excellent customer service, managing front desk operations, and ensuring smooth administrative support within our property management office. The ideal candidate will have strong communication skills, a welcoming demeanor, and the ability to handle a variety of tasks in a fast-paced environment.

Key Responsibilities:

  • Reception Duties:
    • Greet visitors and clients with a professional and friendly demeanor.
    • Answer incoming phone calls, directing them to the appropriate personnel, and taking messages when necessary.
    • Respond to inquiries regarding property details, availability, and services.
    • Manage the front desk area to maintain a clean and welcoming environment.
  • Administrative Support:
    • Assist in the preparation and organization of property-related documents and files.
    • Maintain the scheduling of property viewings, meetings, and inspections.
    • Assist with tenant onboarding and communication.
    • Handle incoming and outgoing mail and packages.
  • Customer Service:
    • Provide high-quality customer service to tenants and prospective clients.
    • Address tenant concerns and issues with professionalism and efficiency, escalating matters to management as necessary.
    • Follow up on customer inquiries and ensure follow-through on service requests.
  • Data Management:
    • Input and maintain accurate records in property management software.
    • Assist in the preparation of reports and presentations as needed.
    • Perform regular audits of tenant information and ensure compliance with policies.
  • Team Collaboration:
    • Support property management team with various tasks as required.
    • Assist in organizing team events and activities.

Qualifications:

  • High School diploma or equivalent; additional education in administration or business preferred.
  • Previous experience in a receptionist or administrative role, preferably in property management or real estate.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Experience with property management software is a plus.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and work effectively in a fast-paced environment.
  • A positive attitude and a commitment to providing exceptional service.

Estimated Salary: $40,000 - $60,000 per year.
