At Best Impressions Caterers, we are seeking a highly organized and personable Assistant Onsite Event Manager/Assistant Client Relations Manager to join our team. This role will assist the Onsite Event Manager with all facets of catering contracts, including event setup, breakdown, and execution, with a primary emphasis on fostering positive and mutually beneficial relationships between our company and our clients.

Key Responsibilities:
  • Oversee and actively participate in the execution of events, ensuring seamless execution and exceeding client expectations.
  • Manage and execute event space setups and breakdowns, maintaining a high level of attention to detail and organization.
  • Attend weekly meetings with contract clients to review past events and prepare for upcoming ones, building strong relationships and ensuring client satisfaction.
  • Prepare proposals and contracts for our team based on client's Banquet Event Orders (BEOs), ensuring accuracy and attention to detail.
  • Disseminate relevant information to our Operations team to ensure seamless event execution, maintaining open communication and collaboration.
  • Contribute to the development of new displays to enhance consistency and guest experience, showcasing our company's commitment to excellence.
  • Offer constructive feedback and critiques to event leads and service staff, focusing on meeting client expectations and improving our services.
  • Assist in recruiting and training new service staff for all aspects of catering services, including setup and event execution, ensuring a high level of quality and consistency.
  • Manage inventory of catering supplies and equipment, maintaining a high level of organization and attention to detail.
Requirements:
  • Minimum two years of experience in the hospitality industry, with a proven track record of establishing and maintaining professional relationships.
  • Proficiency in Front of House service standards and training, with a strong understanding of our company's values and mission.
  • Ability to thrive in high-pressure environments, maintaining a calm and composed demeanor under stress.
  • Availability to work evenings, weekends, and holidays as needed, with a flexible schedule and willingness to adapt to changing circumstances.
  • Strong team player with a commitment to diversity and exceptional service, with a proven ability to work independently and collaboratively.
  • Proficient in Microsoft Office suite (Outlook, Excel, Word, PowerPoint), with a strong understanding of our company's technology and systems.
  • Valid driver's license and access to a vehicle, with a willingness to travel and attend events as needed.
  • Ability to lift 30+ pounds and stand for extended periods, with a strong physical presence and stamina.
