Position Overview:

Under the general supervision of the Controller, the Financial Operations Manager plays a pivotal role in overseeing the daily activities of the accounting department at the Fine Arts Museums of San Francisco. This position requires a thorough understanding of Generally Accepted Accounting Principles (GAAP) and involves complex decision-making responsibilities.

Key Responsibilities:

  1. Execute a range of accounting and administrative functions, including reviewing documentation for accuracy, maintaining financial ledgers, recording transactions, and compiling budgetary data.
  2. Supervise the Accounts Payable team, ensuring the timely review of corporate credit card transactions and adherence to financial policies.
  3. Manage the Accounts Receivable and Cash Collection processes, including oversight of staff and assistance in the collection of overdue invoices.
  4. Ensure accurate revenue recognition for various income streams, including membership dues, special events, and admissions.
  5. Handle accounting tasks related to the Museums' Foundation, including managing Endowment and Temporarily Restricted Funds, as well as creating invoices for related entities.
  6. Oversee financial reporting for the Museums' Auxiliary organizations, providing monthly statements and conducting reviews with their representatives.
  7. Collaborate with the Controller to finalize month-end closing activities, ensuring accuracy in financial reporting and making necessary adjustments.
  8. Assist in the preparation of schedules and reports for annual audits, providing support and analysis as needed.
  9. Contribute to the preparation of annual tax filings and assist in budgetary processes.
  10. Analyze variances between budgeted and actual financial performance, providing insights and recommendations for improvement.
  11. Propose enhancements to internal controls and accounting procedures, supporting the development and implementation of best practices.
  12. Facilitate training for staff on financial systems, ensuring effective utilization of tools such as Financial Edge and PaperSave.

Qualifications:

Education: A Bachelor's Degree in Business or Accounting from an accredited institution.

Experience: A minimum of 5 years in general ledger accounting, with specific experience in Accounts Receivable and Accounts Payable, including at least 2 years in a supervisory role. Experience in the non-profit sector is essential.

Skills:

  • In-depth knowledge of GAAP and experience with fund accounting.
  • Advanced proficiency in computer applications, particularly Excel, with knowledge of pivot tables; familiarity with Financial Edge is preferred.
  • Strong attention to detail and accuracy in financial reporting.
  • Ability to manage multiple priorities and work independently while meeting deadlines.
  • Excellent interpersonal skills, with the ability to communicate effectively with diverse stakeholders.
  • Strong written and verbal communication skills.
  • Collaborative mindset, with a focus on team success and effective problem-solving.
  • Adaptability to changing circumstances and the ability to work effectively with various personalities.

Benefits: The position offers a comprehensive benefits package, including medical, dental, vision, 401(k), and paid time off. A hybrid work schedule is available, typically requiring at least 3 days on-site and up to 2 days remote.

Compensation: The annual salary range for this role is $118,000 to $132,000, with the final offer determined by experience and internal equity.
