Job Summary

The Senior Payroll Specialist plays a key role in supporting and providing backup to the Payroll Supervisor. This position involves managing complex payroll tasks, ensuring accuracy and compliance in payroll processing, and contributing to payroll improvements and training.

Key Responsibilities
  • Payroll Processing: Prepare and manage complex payroll entries and assist with the bi-weekly and monthly payroll processing.
  • Garnishment Management: Ensure accurate and timely processing of garnishments and maintain effective communication with legal counsel regarding garnishment procedures.
  • Payroll Cycle Management: Handle payroll entries for bi-weekly and monthly cycles, and assist with quarter-end, year-end processes, and W-2 distribution.
  • Training and Development: Train team members on new or updated payroll procedures and policies.
  • Process Improvement: Identify and propose process improvements and define standards for new payroll procedures.
  • Manual Payments: Approve and release manual off-cycle check payments.
  • Escalation: Escalate potential service issues to the Payroll Director.
  • Backup Support: Provide backup support for Payroll Specialists during high-volume periods or vacations.
  • Test Script Management: Manage and execute test scripts for HRIS and ensure effective processing of test payrolls.
  • Payroll Regulations: Maintain up-to-date knowledge of payroll regulations and benefits to address employee inquiries regarding payroll deductions.
  • Unclaimed Property Reports: Research and compile data for annual unclaimed property reports related to outstanding checks.
  • System Expertise: Maintain expertise in payroll and timekeeping systems, including PeopleSoft and Kronos.
  • Collaboration: Collaborate with Human Resources and Information Services to resolve payroll-related issues.
  • Attendance and Compliance: Adhere to attendance policies and comply with relevant regulations and standards.
Requirements
  • Education: Associate degree in Accounting or Finance or equivalent relevant work experience in place of a degree.
  • Certifications: Relevant certifications are preferred but not required.
  • Experience: Four to eight years of payroll experience in a high-volume, multi-entity organization.
  • Payroll Systems: Proficiency with payroll systems such as PeopleSoft or similar.
  • Payroll Knowledge: Strong understanding of payroll cycles and related processes.
