Installation Project Coordinator

The Installation Project Coordinator (IPC) oversees installation initiatives for residential and commercial flooring sales within the organization. This role encompasses the effective allocation of products, supplies, and installation contractor resources for each project, while managing and guiding the installation resource distribution and customer expectations throughout the installation process and upon its completion. Additionally, the IPC analyzes necessary adjustments and solutions to ensure the success of flooring projects.

Key Responsibilities:
  • Identify, assess, and onboard independent installation talent to fulfill customer needs for various flooring skillsets.
  • Act as a liaison among managers, clients, and team members.
  • Continuously evaluate customer satisfaction regarding subcontractors' installation performance and recommend ongoing allocation of opportunities.
  • Cultivate strong relationships with installation contractors, emphasizing a culture of feedback, coaching, and continuous improvement.
  • Conduct audits on each project to confirm material availability and alignment with the sales agreement.
  • Direct the assignment of subcontractors to customer projects based on an assessment of qualifications, licensure, and geographic considerations using Empire systems.
  • Participate in daily Pre-loadout Meetings to report on project status, activities, and opportunities.
  • Ensure timely loadout of installation subcontractors through effective process management.
  • Collaborate with clients, installer subcontractors, customer service, and management to address customer complaints related to installation.
  • Oversee loadout operations for carpet and/or hard surfaces, aiming for a target of fifteen minutes per installer subcontractor.
  • Attend Post-loadout Meetings to report on allocation status and work with other departments to resolve issues.
  • Engage with installation contractors at job sites to resolve customer issues, troubleshoot technical inquiries, and manage customer change orders.
  • Timely approve or decline subcontractor change order requests.
  • Manage the scope and financial implications of change orders with clients, securing approval for additional installation scope and facilitating payment processing.
  • Conduct weekly job-site visits to assess new or developing subcontractor qualifications and address projects with customer complaints.
  • Coach installer subcontractors to ensure that Empire meets customer delivery expectations.
  • Set, adjust, and approve additional charges for installer subcontractor labor due to scope changes on-site at customer locations.
  • Promptly address installer subcontractor complaints and grievances.
  • Manage the flow and distribution of materials and supplies allocated to customer jobs, ensuring proper return and accounting in Empire's systems.
  • Ensure the safety and security of employees, installer subcontractors, and Empire property during loadout.
  • Monitor adherence to policy and safety compliance measures during loadout.
  • Assist with additional market initiatives as directed by the General Manager.
  • Perform other functions as necessary or assigned.
Qualifications:
  • High School Diploma or equivalent.
  • Valid Driver's License.
  • Strong proficiency in computer systems, including all Microsoft applications and order management software.
  • Bilingual fluency in English and Spanish is preferred.
  • Solid understanding of carpet and flooring installation fundamentals.
  • Familiarity with home improvement codes, permitting, and licensing requirements is preferred.
  • Experience with material take-offs, additions, and estimating is a plus.
  • Excellent written, verbal, and presentation communication skills.
  • Strong problem-solving and negotiation abilities.
  • Team-oriented with a focus on fostering positive subcontractor relationships.
