Key Responsibilities:
  • Fiscal Operations: Oversee the processing of requisitions, purchase orders, and invoices to ensure timely payments to subcontractors and vendors for various funding sources.
  • Payment Guidance: Provide clear instructions to consultants and internal stakeholders regarding payment procedures and status updates.
  • Travel and Expense Management: Handle travel pre-approvals and reimbursements for faculty, staff, and students, ensuring compliance with funding guidelines.
  • Financial Reconciliation: Prepare and distribute monthly reconciliations for sponsored funding, maintaining accurate records for audit purposes.
  • Payroll Oversight: Ensure payroll certifications are accurately reviewed and submitted in a timely manner.
  • Store Management: Act as the Store Manager for Mason Marketplace, ensuring proper alignment of product offerings and accounting.
Human Resources Functions:
  • Manage hiring and termination transactions, including salary allocations and special payments related to state and sponsored research funds.
Academic Support Duties:
  • Facilitate the preparation of tuition waivers and scholarship payments for students, as well as contracts for adjunct faculty.
Additional Responsibilities:
  • Perform other fiscal and HR-related tasks as assigned by the supervisor.
Qualifications:
  • High school diploma or equivalent required.
  • Experience in processing fiscal and HR transactions is essential.
  • Ability to manage multiple projects and deadlines with a sense of urgency.
  • Proficiency in MS Office and willingness to learn new software.
  • Strong communication skills, both verbal and written.
  • Detail-oriented with excellent organizational skills.
Preferred Qualifications:
  • Bachelor's degree in a relevant field.
  • Experience in higher education, particularly in fiscal responsibilities.
  • Familiarity with Enterprise Resource Planning (ERP) systems.
