POSITION SUMMARY:

The Guest Services Representative serves as the face of the hotel, engaging with guests at every phase of their stay. This role involves greeting guests, addressing inquiries, and resolving issues in a professional and courteous manner. A strong sales orientation is essential, as the representative will present options and assist guests in making informed decisions. This position reports directly to the Front Office Manager.

KEY RESPONSIBILITIES:

  • Uphold confidentiality of all proprietary information consistently.
  • Adhere to company policies and maintain punctuality for scheduled shifts.
  • Collaborate with supervisors to assess assignments and anticipate business needs.
  • Deliver exceptional customer service at all times.
  • Maintain a friendly and welcoming demeanor.
  • Accurately respond to inquiries from potential guests and manage hotel reservations.
  • Handle phone and in-person inquiries regarding reservations and guest concerns.
  • Facilitate guest check-ins and check-outs, accommodating special requests as feasible.
  • Provide comprehensive orientations of the hotel facilities.
  • Assist with pre-registration and room blocking for reservations.
  • Comprehend and adhere to proper credit and cash handling procedures.
  • Stay informed about room status and tracking.
  • Familiarize with room types, locations, and rates.
  • Operate front office equipment proficiently.
  • Process guest check-outs efficiently.
  • Follow protocols for managing safe deposit boxes for guests.
  • Coordinate with housekeeping to keep room status reports current.
  • Employ proper telephone etiquette in all communications.
  • Execute cashiering tasks, including billing and posting charges.
  • Report any unusual occurrences or requests to management.
  • Maintain cleanliness and organization of the front desk area.
  • Understand that business demands may require shift adjustments.
  • Perform additional duties as assigned by management.

QUALIFICATIONS & SKILLS:

Essential:

  • High School diploma or equivalent experience.
  • Minimum of 1 year experience in a similar role, preferably within the hospitality sector.
  • Proficient computer skills.
  • Strong initiative, guest service skills, and decision-making abilities.
  • Typing speed of at least 40 words per minute.
  • Ability to perform basic mathematical calculations.
  • Focus on guest needs while maintaining composure and courtesy.
  • Ability to manage multiple requests under pressure.
  • Team-oriented mindset, collaborating effectively with colleagues.
  • Flexible scheduling availability.
  • Capable of coordinating various services for guests.
  • Ability to work independently with minimal supervision.
  • Competence in relaying instructions and seeking assistance when needed.
