POSITION SUMMARY:

The Guest Services Representative serves as the face of the hotel, engaging with guests throughout their stay. This role involves greeting, assisting, and addressing guest inquiries in a professional and courteous manner. A focus on sales and providing options to guests is essential. The position reports directly to the Front Office Manager.

KEY RESPONSIBILITIES:

  • Uphold confidentiality of all proprietary information.
  • Adhere to company policies and punctuality in attendance.
  • Collaborate with supervisors to assess business levels and operational needs.
  • Deliver exceptional customer service consistently.
  • Maintain a friendly and professional demeanor at all times.
  • Respond accurately to inquiries from potential guests and manage reservations.
  • Handle check-in and check-out processes, accommodating special requests when feasible.
  • Provide comprehensive orientations of the hotel facilities.
  • Assist with pre-registration and room blocking for reservations.
  • Understand and comply with credit and cash handling procedures.
  • Stay informed about room status and types available.
  • Operate front office equipment proficiently.
  • Process guest check-outs efficiently.
  • Follow protocols for managing safe deposit boxes.
  • Coordinate with housekeeping to maintain accurate room status reports.
  • Exhibit proper telephone etiquette in all communications.
  • Perform cashiering duties, including billing and posting charges.
  • Report any unusual occurrences or requests to management.
  • Ensure the front desk area remains clean and organized.
  • Be adaptable to shift changes as business demands dictate.
  • Undertake additional responsibilities as assigned by management.

QUALIFICATIONS & SKILLS:

Essential:

  • High School diploma or equivalent experience.
  • Minimum of one year in a similar role, preferably within the hospitality sector.
  • Proficient computer skills.
  • Strong initiative and excellent guest service abilities.
  • Typing speed of at least 40 words per minute.
  • Basic mathematical skills for handling transactions.
  • Ability to prioritize guest needs while maintaining composure.
  • Capacity to manage multiple requests under pressure.
  • Team-oriented mindset with a collaborative approach.
  • Flexible scheduling availability.
  • Competence in coordinating various guest services.
  • Ability to work independently with minimal supervision.
  • Effective communication skills for relaying instructions and seeking assistance.
