The Administrative Support Specialist position at Promotion Plus Sign Co., Inc. is a key role in ensuring the smooth operation of our front office activities.

Job Summary

We are seeking an organized and detail-oriented individual to provide administrative support to our team. As an Administrative Support Specialist, you will be responsible for managing the front reception area, handling phone calls, and providing exceptional customer service.

Responsibilities
  • Front Office Management: Manage the front reception area, including greeting clients, answering phone calls, and responding to emails.
  • Phone System Administration: Troubleshoot and resolve issues with the phone system, set up holiday greetings, and maintain voicemail boxes.
  • Customer Service: Handle guest and customer inquiries, including complaints, with courtesy and professionalism.
  • Office Maintenance: Supervise the general housekeeping of office facilities, including break rooms and common areas.
  • Inventory Management: Monitor and maintain office supplies, equipment, and inventory, including company T-shirts.
  • Data Entry: Enter and maintain data in Excel spreadsheets, including time tracking and parking slips processing.
  • Mail and Package Handling: Manage mailings and shipments using UPS, Fed Ex, and Stamps.com software.
Requirements
  • Education: High school diploma or equivalent required.
  • Experience: 1-2 years of administrative experience preferred.
  • Skills: Excellent communication and organizational skills, proficiency in Microsoft Office, and ability to work in a fast-paced environment.
