Job Summary

Chevron is seeking an experienced Administrative Assistant to provide dedicated support to Managers and multiple clients within the maintenance department. The successful candidate will possess excellent organizational skills, attention to detail, and the ability to effectively communicate at all levels of the organization.

Key Responsibilities
  • Proactively maintain calendars, resolve conflicts, and coordinate document management for two Managers.
  • Coordinate logistics for LT meetings and team meetings, including lunches and meeting rooms.
  • Track action items for the organization, ensuring completion and due dates are met.
  • Coordinate moves, space planning, and furnishings for teams.
  • Provide technical support for database and computer programs, including Meridium, Microsoft Office, and Visio OERI.
  • Manage group membership for accounts in the IAM portal.
  • Organize meeting logistics, including scheduling, preparing agendas, and tracking action items.
  • Maintain SharePoint and Intranet webpages for the team.
  • Manage electronic filing systems and maintain organization charts and team distribution lists.
  • Communicate effectively through telephone or written communication lines, interacting with other managers and visitors.
  • Manage tasks and work as the point of contact for mail room needs.
  • Assist with the on-boarding process for new employees and contractors.
Requirements
  • High School Diploma or equivalent.
  • Valid California driver license.
  • Minimum of 3 years relevant administrative experience.
  • Demonstrated proficiency in the Microsoft Office Suite.
  • Ability to take initiative, prioritize, and meet deadlines, with strong organizational skills and attention to detail.
  • Effective communication skills, with the ability to convey ideas at all levels of the organization.
Preferred Qualifications
  • Experience supporting a high-level manager or group of managers.
  • Some college or other training/certifications.
  • Ability to interface effectively with all levels of a diverse workforce.
  • Strong communication skills, with the ability to communicate clearly and professionally.
  • Ability to plan, balance, and multi-task job responsibilities, with a high level of accomplishment.
