Position Overview:

Role Summary:


The Facilities Maintenance Specialist will be an integral member of the Operations Team, receiving guidance from the Maintenance Supervisor and reporting directly to the Property Manager.


This role entails overseeing the upkeep, repair, and cleanliness of assigned residential buildings, which may encompass various locations and types of structures.


The Facilities Maintenance Specialist is essential in ensuring that the assigned properties are upheld to the highest standards of quality, as established by our organization and the broader industry.


This position requires collaboration with the Maintenance Supervisor and other team members to effectively manage a valuable asset that serves residents from diverse economic backgrounds and social needs.

The Specialist will also ensure the accuracy of all data entered into the company’s systems.

Providing exceptional customer service to residents is a priority, fostering long-term retention.

The Specialist will exhibit professionalism and actively pursue personal development through the Pennrose Academy. Reporting to the Maintenance Supervisor is expected.

Responsibilities:
• Efficiently manage the unit readiness program to meet company standards within a 5-business day timeframe.

• Collaborate with the Maintenance Supervisor to conduct thorough apartment inspections for both move-in and move-out, including preparing damage estimates for collection purposes.

• Identify cost-saving opportunities and best practices, sharing insights with colleagues.

• Embrace technology by optimizing the use of Yardi Maintenance Mobile.

• Utilize Yardi's Procure to Pay system to maximize savings.

• Adhere to the company's Risk Management protocols to maintain a safe property environment.

• Execute repairs and preventative maintenance in accordance with company and industry standards, seeking assistance from the Maintenance Supervisor or other management when necessary.

• Clear snow from sidewalks and entryways using approved materials, following company procedures and maintaining a professional snow log.

• Ensure all preventative maintenance tasks are completed according to manufacturer guidelines, preserving warranty and guarantee information.

• Secure and maintain a comprehensive set of building plans.

• Keep common areas well-maintained and inspect the property daily for issues, addressing them promptly.

• Understand the property's annual operating budget and work towards achieving its objectives.

• Proactively manage the property to maintain an 'inspection-ready' status at all times.

• Monitor utility consumption and related expenses, collaborating with the Maintenance Supervisor and Property Manager to optimize the use of the NWP system.

• Contribute valuable input to the capital planning and budget processes, examining expenditures for potential savings and efficiencies.

• Complete work orders, preventative maintenance, and apartment turnovers within company policy timeframes while delivering excellent customer service.

• Take ownership of all maintenance, safety, and resident relations aspects of the property.

• Educate staff on customer service, professionalism, safe work practices, effective property inspections, vendor management, and optimal use of technology.

• Ensure the property is consistently prepared for inspections, including agency and REAC evaluations, without requiring last-minute staffing or spending surges.

• Complete necessary insurance administration tasks to effectively manage claims.

• Serve as a role model, mentor, and trusted resource for field staff and residents.

• Assist with the Supportive Services program to ensure its success.

• Support Pennrose Academy initiatives to enhance staff technical expertise.

Qualifications:
• High School Diploma or GED; technical training certifications are advantageous.

• Minimum of one year of experience in property maintenance or a related field.

• A valid driver's license, insured vehicle, and the ability to travel between properties are required.

Working Conditions:
• Flexibility in working hours is necessary. Travel by plane and automobile may be required.

• Ability to work at property locations within transitional neighborhoods.

• Physical ability to climb stairs, use elevators, bend, squat, reach overhead, and meet standard mobility and lifting requirements associated with property maintenance.
