Job Summary

We are seeking an experienced and dynamic Administrative Assistant to provide technical and customer service assistance to the City Clerk Division, staff, and community members. The successful candidate will provide support for various city programs and ensure the efficient provision of administrative support for a city division or function.

Key Responsibilities
  • Provide high-quality customer service at the City Hall front counter via phone or in-person contact, receiving complaints and requests, and providing general information.
  • Interact with the general public, contractors, and other city/state agencies, ensuring effective communication or transfer of information.
  • Process payments for business licenses, pet licenses, city permit fees, and other necessary items.
  • Assist with budget preparation and projecting, tracking and reporting itemized division expenditures and revenues.
  • Perform administrative tasks related to contracts, including drafting, routing, coordinating, tracking, and supporting staff with advertising, bidding, contracting, and compliance.
  • Compose and prepare reports, statistical data, correspondence, and other documents, including minutes, agendas, and legal notices.
  • Maintain up-to-date division information on the City's website and perform other administrative tasks as needed.
Requirements
  • Graduation from high school or equivalent and two years of progressively responsible administrative experience.
  • Fluency in Spanish and experience in front-facing customer service administrative support are preferred.
