Job Description

We are looking for a Research Support Specialist to work at the Naval Medical Research Center (NMRC) in Silver Spring, MD.

Job Summary: The Research Support Specialist role involves managing the daily operations of NMRC's Command Publication and Research Services Department (RSD) programs. Responsibilities include coordinating training programs, managing databases, preparing status reports, providing administrative support for research documents, and performing other administrative tasks as required. The ideal candidate will possess strong communication skills, the ability to work independently and as part of a team, proficiency in Microsoft Office software, and experience with customer service operations.

Key Responsibilities:

  1. Coordinate NMRC/RSD weekly training programs, including reserving training rooms, preparing materials, and disseminating invitations and completion certificates.
  2. Provide internal quality improvement initiatives for RSD operations, including tracking and managing correspondences and databases.
  3. Conduct regular audits of databases to ensure accuracy of information and identify and resolve issues.
  4. Prepare monthly and periodic status reports for the Office of Research Administration (ORA), RSD, and other reporting authorities as required.
  5. Provide tracking, administrative support, and coordination for research documents being reviewed by various committees and departments.
  6. Prepare briefing packages for upper-level management and maintain Standard Operating Procedures (SOPs) to ensure compliance with regulations.
  7. Perform other research support tasks as required, including maintaining electronic messages and correspondences.

Knowledge, Skills, and Abilities:

  1. Knowledge of coordinating assessments to ensure policies and instructions are updated, maintaining tracking systems for publications submission packages, and conducting database audits.
  2. Ability to provide administrative/project management support services, demonstrate strong written and oral communication skills, and work independently and as part of a team.
  3. Proficiency with Microsoft Word, Outlook, Excel, and PowerPoint software, as well as general office machines and telephone systems.
  4. Experience with customer service operations and maintaining compliance with local, federal, and state requirements.

Educational Requirements:

  • Minimum of an Associate's Degree in any field of study OR
  • At least three years of experience with management and administrative services, with established professional knowledge and skills specified to the subject matter.
