Position Title: Manager of Mortgage Processing & Servicing
Reports To: Director of Mortgage Lending
Status: Salary; Exempt

Position Overview: The role encompasses overseeing mortgage loan processors and servicers, ensuring adherence to company operational standards alongside federal and state regulations. The manager will guide staff in preparing mortgage loan disclosures and closing documents, as well as ensuring lien perfection. The focus will be on maintaining data integrity and the quality of loan information while fostering exceptional customer relations, providing timely assistance, and promoting bank products and services when appropriate. The position also involves offering advice and guidance to personnel engaged in loan activities to ensure proper processing and adequate controls are upheld. Additionally, the manager will participate in loan officer training and collaborate with the Compliance Officer to guarantee regulatory compliance. The role includes working with the Chief Credit Officer to propose and manage new systems, policies, and procedures while overseeing quality control in various areas of Loan Servicing, including customer service, escrow processing, and payoff statements.

Key Responsibilities:
  • Supervise, recruit, and train mortgage loan processing and servicing personnel, making recommendations regarding personnel changes or restructuring.
  • Maintain a high standard of customer service through proactive communication with internal and external stakeholders.
  • Lead a team-oriented environment to achieve overall bank objectives.
  • Oversee and collaborate with processing and servicing staff to complete all aspects of mortgage workflows.
  • Ensure accuracy in loan documentation and pre-closing review processes.
  • Manage collateral perfection processes, including lien entry, UCC and mortgage filings, title commitments, and final title policies.
  • Monitor new compliance legislation and establish procedures to manage risks associated with mortgage lending in coordination with the Compliance Officer and Director of Mortgage Production.
  • Administer, develop, test, and maintain the Loan Operating System (LOS) and its interfaces.
  • Develop workflows, reports, and dashboards to minimize manual processes and enhance automation.
  • Design and implement policies and procedures to support mortgage operations and streamline processes.
  • Conduct training for user groups to maximize the capabilities of the operating/processing platform.
  • Manage the secondary market investor program, including servicing, remittance, reporting, rate locks, investor relations, and product management.
  • Oversee vendor relationships and address issues through appropriate channels.
  • Understand and apply Federal, State, and Union State Bank regulations.
  • Perform additional duties as assigned.
Supervisory Responsibilities: Directly supervises Mortgage Loan Processors and Mortgage Servicing Specialists.

Education and Experience Requirements: High school diploma or equivalent required. Prior experience in mortgage loan processing, customer service, loan servicing, and supervisory roles is essential. Proficiency in LaserPro and Encompass is required. Familiarity with Fannie Mae DU, UCD & UCDP is preferred. A valid Driver's License is necessary. Understanding of Federal, State, and Union State banking regulations is important. Bank-related courses are strongly recommended.

Self-motivated with the ability to manage multiple tasks. Basic computer proficiency, including Adobe, Word, and Excel. Strong organizational and problem-solving skills. Ability to work with all organizational levels. Detail-oriented and organized, capable of handling multiple tasks. Excellent written communication skills. Ability to manage confidential information and represent the company positively.

Competencies: Problem-solving, critical thinking, decision-making, time management, and collaboration.

System Access: FiServ Precision, Encompass, LaserPro, ProSign Online, Baker Hill, APS Employee & Manager Self-Service, AFR, Accumatch, Adobe, Microsoft Office Suite.

Equipment Used: Office equipment including computer, multi-line phone system, multi-function unit, and imaging scanner.

Working Conditions: Work is conducted in an office setting. The position requires prolonged sitting (90%), occasional lifting (10%) of up to 50 lbs, and movement of departmental materials and equipment. Constant repetitive use of arms and hands below shoulder level for computer tasks is necessary. Travel to other locations may be required.
