About the Role

As a Project Coordination Specialist at Wieland, you will collaborate closely with the Project Manager, Superintendent, and Project Accountant to oversee all aspects of project management from pre-construction to project completion. Your role will be pivotal in ensuring effective communication and direction among the Wieland project team, clients, architects, and subcontractors.

Key Responsibilities

  • Develop and distribute bid packages, ensuring clarity on bid-related inquiries.
  • Manage and maintain the Submittal Log and associated workflows.
  • Facilitate timely RFI communications and updates.
  • Disseminate drawings and specifications to relevant stakeholders.
  • Prepare proposals and solutions for team approval in response to cost changes.
  • Evaluate subcontractor bids for cost efficiency and scope completeness.
  • Foster strong working relationships through effective communication with colleagues, subcontractors, and clients.
  • Maintain comprehensive document control for all critical information, including insurance and contract documentation.
  • Oversee the project close-out process, including punch lists and as-built documentation.
  • Conduct post-bid interviews to confirm scope, schedule, and cost, aiding in subcontractor selection.
  • Assist in the preparation and distribution of Commitments/Subcontracts promptly after project award.
  • Ensure all subcontractors possess signed agreements, necessary bonds, and valid insurance prior to commencing work.
  • Support the permitting and inspection processes.
  • Engage in financial activities to enhance understanding of project budgets.
  • Review and approve invoices promptly as a tier 1 reviewer.
  • Address and resolve conflicts related to scope and cost throughout the project lifecycle.
  • Generate and distribute change orders efficiently during the project duration.
  • Update the project schedule as required by the project team.
  • Create and circulate meeting agendas and minutes as determined in the project initiation meeting.
  • Safeguard the interests of the Owner while nurturing positive relationships for future collaborations.
  • Identify potential issues and propose preventative measures.
  • Communicate effectively with other departments and companies.
  • Demonstrate openness to feedback and constructive criticism.
  • Lead by example and promote diversity in all actions and decisions.
  • Respect diverse perspectives and take the time to understand others' viewpoints.
  • Uphold and exemplify company values and culture.
  • Be flexible to travel as project demands dictate.

Qualifications

  • Experience or interest in construction management.
  • Proficiency in Procore is preferred.
  • Exceptional verbal and written communication skills.
  • Ability to utilize technology effectively in the field.
  • Willingness to travel as necessary.
