Position Overview
The Virginia Community Colleges system is dedicated to fostering educational opportunities for residents. We are seeking an Administrative Support Specialist to assist in enhancing student engagement and success through effective program management.
Key Responsibilities
- Facilitate the coordination and execution of program initiatives aimed at student success.
- Develop and maintain digital documents and spreadsheets to track program activities.
- Welcome and guide students to appropriate resources and services.
- Oversee inventory management for office supplies and student resources.
- Assist in the operation of technology loan programs for students.
- Input and manage data related to student groups and activities.
- Procure and maintain necessary office and student supplies.
- Ensure electronic files related to coaching services are current and organized.
- Support budget tracking and financial record-keeping.
The Administrative Support Specialist will play a crucial role in gathering and analyzing data on student interactions and success strategies, contributing to the overall effectiveness of the college's support services.
Additional Duties
May be assigned other responsibilities as necessary. The role may also involve assisting state agencies during emergency situations as declared by authorities.
Qualifications and Skills
- Ability to work independently and collaboratively within a team setting.
- Proficient in Microsoft 365, Google Suite, Teams, and Zoom.
- Strong data compilation and report preparation skills.
- Exceptional customer service abilities.

Minimum Eligibility Requirements
- Significant experience in administrative roles, or an Associate's degree in a relevant field.
- Proven ability to address student inquiries and resolve complaints effectively.
- Demonstrated capability to maintain a welcoming and professional office atmosphere.
- Strong communication skills, particularly in active listening.
- Ability to handle student grievances with professionalism.
- Confidence in setting professional boundaries when necessary.
- Dependability and accountability in professional conduct.
- Strong written communication skills as evidenced in application materials.
Preferred Qualifications
- Experience working in a higher education environment.
- Familiarity with student information systems.
Travel Requirements
Local, regional, and state travel may be necessary.
