Administrative Assistant Senior

We are seeking a highly skilled and experienced Senior Administrative Assistant to join our team at J&J Family of Companies. As a key member of our administrative team, you will provide exceptional support to our Vice President of DTMP, ensuring seamless execution of administrative tasks, special projects, and meetings.
Key Responsibilities:- Manage the Vice President's calendar, scheduling meetings, and coordinating travel arrangements.
- Coordinate events, meetings, and conferences, ensuring all logistics are professionally managed.
- Prepare and distribute meeting agendas, materials, and ensure timely communication with attendees.
- Arrange domestic and international travel for the Vice President, adhering to the organization's Travel Policy.
- Prepare, review, and submit expense reports and reimbursement requests.
- Organize candidate interview schedules and handle travel, lodging, and transportation arrangements for candidates.
- Manage new hire onboarding activities, including preparing and distributing announcements.
- Maintain and update department organizational charts and contact telephone lists.
- Perform advanced administrative duties, requiring sound judgment, discretion, and the ability to independently assess and address complex situations.
- A minimum of 5 years of administrative experience, preferably in a similar role.
- Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Experience coordinating daily calendars for management, scheduling meetings, and organizing offsite meetings.
- Strong attention to detail, excellent organizational skills, and the ability to maintain confidentiality.
- Proven track record of working in a fast-paced, multicultural, and international environment.
