The Clinical Research Funding Coordinator will collaborate closely with the Principal Investigator (PI), research coordinators, and various research personnel to prepare and submit grant applications for clinical trials and basic science projects from federal, industry, and non-federal sources.

The role serves as a vital link between departmental research teams and the Office of Research Administration, as well as Purchasing, Research Billing, and Finance departments.

This position encompasses a range of pre- and post-award administrative responsibilities, including the preparation and routing of internal documents for signatures, monitoring grant accounts, tracking expenditures, and conducting financial reconciliations related to research activities.

Compliance with all applicable federal, state, and local regulations, including those set forth by the National Institutes of Health (NIH), Department of Defense (DOD), Food and Drug Administration (FDA), and the Institutional Review Board, is essential.

This position will report directly to the Research Program Administrator for daily supervision and guidance. This is a hybrid role.


Key Responsibilities:
  • Monitor Time & Effort for precise reporting and execute necessary funding adjustments through direct cost transfer requests (DCTRs).
  • Identify potential research funding opportunities.
  • Engage in budget negotiations for clinical trials.
  • Assist with billing for research participants.
  • Uphold research practices in accordance with Good Clinical Practice (GCP) standards.
  • Ensure strict adherence to patient confidentiality as mandated by HIPAA regulations and relevant laws.
  • Participate in mandatory training and educational programs.
  • Collaborate with the principal investigator to finalize and submit federal, non-federal, and foundation grant applications.
  • Support budget development and input financial data into federal systems.
  • Contribute to the creation of financial forecasts for project account management.
  • Assist in drafting and submitting progress reports.
  • Help prepare and submit documentation necessary for research compliance.
  • Support the Research Program Administrator and leadership with additional tasks as assigned.

Department-Specific Duties:
  • Evaluate research protocols to determine resource requirements, procedural needs, clinical research staff time, investigator time, and costs from ancillary departments.
  • Establish cost allocations, negotiate budgets, and oversee monitoring and invoicing.
  • Process Ancillary Agreements with departments providing research services.
  • Supervise study accounts to ensure expenses are appropriate and within expected limits, reconcile accounts receivable and payments, and address any deficits or surpluses.
  • Negotiate with sponsors regarding final payments for account closure.
  • Conduct quality reviews and audits of clinical trial budgets.
  • Act as a point of contact for fiscal inquiries and engage management as necessary.
  • Meet regularly with research programs to review financial portfolios.

Qualifications:
  • High School Diploma is required.
  • Bachelor's degree is preferred.
  • A minimum of one year of experience in the administration of research grants is required.
  • Experience collaborating with research groups, the Office of Research Administration, Finance, and Purchasing is highly preferred.
  • Exceptional verbal and written communication skills, along with a solid understanding of Grants, Manuscripts, and Abstracts guidelines.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook) is required.
  • Demonstrated ability to create and utilize Excel spreadsheets for budget and data tracking is strongly preferred.
