The Clinical Research Financial Coordinator I is responsible for crafting financial plans for clinical trials across various sectors, including industry partnerships, National Institutes of Health (NIH) initiatives, and investigator-led studies. This role involves assessing research protocols to determine the necessary resources for research activities, clinical staff involvement, investigator contributions, and costs from supporting departments. The coordinator will identify cost distribution, negotiate financial agreements, detail budgetary requirements, and oversee account management and invoicing. Compliance with all relevant federal and local regulations, including those set by the Food and Drug Administration (FDA) and local Institutional Review Boards (IRB), is paramount.
Key Responsibilities:
+ Collaborate with investigators and ancillary departments to identify required research activities, estimate budgets, and detail costs. Manage Ancillary Agreements with departments that provide research services.
+ Determine whether research activities outlined in protocols are standard care or research-related expenses to accurately classify costs.
+ Partner with the office of Sponsored Research to finalize budgets for clinical trials and research initiatives.
+ Negotiate financial terms and payments with industry sponsors.
+ Monitor study accounts to ensure that expenses align with budget expectations, reconcile accounts receivable and payments, and identify any financial discrepancies. Negotiate final payments with sponsors for account closure. Conduct reviews and audits of clinical trial budgets as necessary. Serve as a resource for financial inquiries.
+ Manage invoicing for sponsors, patient research billing, reimbursements to ancillary departments, and payment tracking. Issue and submit invoices for protocol-related items and patient expenses according to established contracts and internal billing for staff contributions to study accounts. Collaborate with sponsors and clinical teams to address any invoice or payment queries.
+ Analyze financial data to assess performance and project future financial outcomes. Prepare and present reports and data to investigators, management, and leadership.
+ Input finalized financial information from clinical trial budgets and agreements into the Clinical Trial Management System. Review and finalize clinical trial calendars to ensure alignment with Medicare coverage analysis and clinical trial budgets.
+ Conduct Medicare coverage analysis for clinical trials and work with the IRB to secure necessary approvals.
+ Build effective working relationships with cross-functional teams and represent the organization to external stakeholders.
+ Address both internal and external customer needs promptly and effectively, utilizing available resources to meet deliverables.
+ Uphold strict patient confidentiality in accordance with HIPAA regulations and applicable laws, adhering to Good Clinical Practice (GCP) guidelines.
Department-Specific Duties:
+ May prepare and submit research protocols, modifications, and supporting documents to regulatory agencies such as the FDA, PPC, PRMC, IBCS (if applicable), Cedars-Sinai IRB, Third Party IRB (WIRB), and any relevant research committees involved in the Pre-Award/Post-award process.
+ May generate and maintain reports, regulatory files, research documentation, REDCap databases, and other records to fulfill regulatory requirements for research projects.

Qualifications
Education:
+ High School Diploma/GED required. A Bachelor's Degree in Accounting, Finance, or a related field is preferred.

Certification:
+ Certification in clinical research is preferred.
Experience:
+ A minimum of two (2) years of experience in billing, accounting, finance, budgeting, financial analysis, or a related field is required.
+ Three (3) years of experience in pre and/or post grant and contract funding in clinical research is preferred.
