This role is dedicated to ensuring that all client interactions and requests are handled promptly, accurately, and efficiently while upholding a client-centric approach. Responsibilities and tasks may vary based on the needs of the business.
Key Responsibilities:
- Primarily responsible for collecting information through incoming communications from clients to swiftly, professionally, and accurately address any inquiries related to products and services.
- Diagnose service-related issues to meet client needs; process service requests; schedule appointments based on client requirements; provide estimates; and order necessary service components.
- Conduct thorough research and troubleshooting of product issues reported by clients in a timely manner.
- Maintain and update client records in the internal system with each interaction and close files upon job completion.
- Utilize resources such as subject matter experts to ensure accurate ordering of service parts.
- Process warranty part requests as needed.
- Effectively operate the phone system as required.
- Address client complaints regarding products and services, collaborating with other departments as necessary.
- Support Service Technicians with daily operational tasks including scheduling, parts ordering, and client communications.
- Facilitate client payments through credit card transactions.
- Coordinate delivery methods for service parts without requiring technician visits.
- Confirm appointments with clients regarding time and date, and follow up post-service to assess satisfaction levels.
- Achieve or surpass monthly performance metrics, including client satisfaction and productivity goals set by the department.
- Encourage and participate in continuous improvement initiatives within the team.

Qualifications:
To excel in this role, candidates must be able to fulfill each essential duty satisfactorily. The qualifications, physical demands, and work environment characteristics listed below represent the knowledge, skills, and abilities required for successful performance.
Education and Experience:
A High School Diploma or GED is required. An Associate's or Technical degree is preferred, along with 0-2 years of experience in customer service or general business. Familiarity with general construction applications and terminology, as well as window and door components, is advantageous but not mandatory.
Computer Skills:
Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint is necessary. Candidates will be expected to gain proficiency in proprietary software applications.
Communication Skills:
Excellent verbal and written communication skills are essential, along with strong public relations and customer service abilities. Candidates must be able to read, interpret, and explain documents such as sales processes and product specifications. The ability to effectively present information and respond to inquiries from clients and colleagues is crucial.
Professional Skills:
Must be a collaborative team player with a strong desire for personal growth. Self-motivated and disciplined, candidates should demonstrate the ability to see projects through to completion. Attention to detail, organizational skills, and the ability to prioritize tasks are essential.
Mathematical Skills:
Ability to perform basic arithmetic operations and calculations related to money, time, and measurements.
Physical Demands:
This position requires regular standing, walking, and the use of hands for various tasks. Occasional lifting of up to 10 pounds may be necessary. Specific vision abilities required include close vision and the ability to adjust focus.
Work Environment:
The work environment is primarily an office setting with moderate noise levels. Employees may occasionally enter warehouse areas.
