Key Responsibilities

  • Gather and organize project details including location, specifications, images, and timelines.
  • Initiate and follow up on requests for proposals.
  • Deliver weekly updates to the Boards and relevant homeowners.
  • Evaluate proposals and contracts against the initial requests for proposals.
  • Facilitate the review of proposals by the Board, addressing inquiries, compiling responses, and communicating decisions to management.
  • Prepare project information such as estimated time of arrival, duration, and impact for homeowner notifications.
  • For multi-day projects, collect daily updates from contractors to inform homeowners and provide before-and-after images to the Board for satisfaction assessments.
  • Assess project satisfaction levels with affected homeowners.
  • Handle overflow phone inquiries.
  • Respond promptly and courteously to phone and email inquiries, directing them to the appropriate department as needed.
  • Digitize documents to PDF format, ensuring proper labeling and filing.
  • Safeguard the confidentiality of client and company information.
  • Work twelve hours per week during business hours, with shifts including breaks and lunch, all conducted in-office.
Required Skills

  • Proficiency in Microsoft Word, Excel, Outlook, and Windows, as well as Adobe Acrobat and QuickBooks Pro.
  • Ability to compose professional correspondence with correct grammar and punctuation.
  • Capability to work independently and efficiently, managing time effectively for deadline-driven tasks.
  • Skill in comprehending, analyzing, interpreting, and summarizing complex documents.
  • Creative problem-solving skills with the ability to evaluate multiple options using advanced analytical and quantitative techniques.
  • Adaptability to a dynamic environment where services and processes evolve as the company grows.
  • Maintain an organized and tidy workspace.
  • Completion of a project management course and a minimum of one year’s experience in a construction-related field.
