Position Title: Program Assistant, Conservation

Overview:

Under general oversight, the Program Assistant will support the conservation and scientific initiatives of the Association of Zoos and Aquariums (AZA). Key responsibilities encompass maintaining and utilizing departmental databases, offering administrative assistance for AZA SAFE: Saving Animals From Extinction, and other conservation and scientific endeavors. The role includes aiding in the management of AZA's grant programs, preparing and refining reports for publication, and delivering presentations.

Core Responsibilities:

  • Maintain and update AZA's conservation database, which includes field conservation, research, and sustainable business practices, utilizing Association Management Software.
  • Conduct data queries for communication purposes and to monitor member accountability.
  • Ensure timely and professional correspondence with members submitting data and committees reviewing submissions.
  • Collaborate with committees to refresh related processes and materials.

Publication and Presentation Development:

  • Assist in the creation, review, and editing of conservation and science-related publications, including the Annual Report on Conservation and Sciences Highlights.
  • Support the production of materials for AZA's print and digital platforms.

Database Management:

  • Update and manage the SAFE species program databases and tracking spreadsheets.
  • Process new program proposals and execute SAFE species program database queries as necessary.

Administrative Support:

  • Facilitate the general administration of AZA SAFE, ensuring consistent communication among related committees and program leaders.
  • Contribute to content creation for SAFE communications.
  • Assist with the administration of AZA's conservation grant programs.

Website Maintenance:

  • Update and manage departmental sections of the AZA website.

Additional Duties:

Support departmental staff with special projects and clerical tasks, including maintaining standard operating procedures for departmental activities and responding to general inquiries. Perform other duties as assigned.

Qualifications:

  • Proficient in computer applications, particularly Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Access).
  • Exceptional attention to detail with skills in data entry, management, and report formatting.
  • Strong typing, writing, and proofreading capabilities.
  • Excellent organizational and communication skills, both written and verbal.
  • Dedication to providing quality and timely member service.
  • Aptitude for building and maintaining effective professional relationships.
  • Ability to work independently and efficiently.
  • Familiarity with biological sciences and conservation principles is advantageous.

Education and Experience:

A minimum of a High School Degree or GED, along with experience in data management or a background in biological sciences.
