Job Summary

We are seeking an experienced Accounts Receivable Specialist to support our Accounting department at Northstar Construction Services. This role will also involve Project Coordinator responsibilities when needed.

Key Responsibilities
  • Accounts Receivable Functions
    • Assist in managing day-to-day accounting functions, including General Ledger, Accounts Receivables, Accounts Payable, Fixed Assets, and Job Costs.
    • Manage Payroll and related weekly, monthly, quarterly, and annual taxes and returns.
    • Audit and verify customer and Company Credit Card usage.
    • Perform general ledger and bank account entries, reconciliations, and analyses.
    • Complete sales/use tax, mileage tax, property tax, and W/C reports.
    • Prepare monthly, quarterly, and annual Inventory and Manufacturing Costs Reports.
    • Complete month-end and year-end closing processes.
    • Assist in analyzing annual cost and coverage analysis of employee insurance and benefits.
    • Manage external audits, including G/L liability, workers' compensation, sales and use tax audits, the annual insurance renewal audit, and other on-demand external audits.
    • Prepare and audit timely monthly, quarterly, and annual financial statements.
    • Prepare financial analysis and reports, as needed.
    • Develop and implement new policies and procedures in response to changes in GAAP and company operations.
    • Complete the Annual Review and Tax Returns in conjunction with the Company's outside CPA.
    • Maintain compliance with accounting policies and internal control procedures.
  • Project Coordinator Responsibilities
    • Support the field and office through independent critical analysis of submittals, shop drawings, and project plans and specifications.
    • Coordinate and track the RFI, ASI, and IDC processes.
    • Create and submit WOs and POs as requested by senior personnel.
    • Assist in tracking project expenses and budget.
    • Maintain accurate project records, including contracts, permits, and approvals.
    • Assist with creation and submission of customer weekly reports.
    • Review project daily reports for clarity and accuracy.
    • Assist the Construction Administrators and other staff members with various administrative tasks as needed.
    • Follow-up and coordinate with team members and consultants.
    • Promote Safety and assist with the implementation of all HSE programs, policies, and procedures.
    • Work closely with project managers, construction teams, and subcontractors to facilitate smooth project execution.
