Job Summary

We are seeking a compassionate and outgoing individual to join our team as a Front Desk/Client Services Representative at Therapeutic Oasis in Boca Raton.

This role requires a solid understanding of office administration, excellent communication skills, and a commitment to providing compassionate care to our clients.

The ideal candidate will be responsible for welcoming clients into our office with warmth and compassion, facilitating the scheduling and payment processes, and providing exceptional service and care to every client.

Key Responsibilities:

  • Create and maintain a warm and welcoming environment for clients, visitors, and team members
  • Warmly greet all clients and visitors
  • Direct clients on campus
  • Open and close building at scheduled times
  • Assume responsibility for daily care and upkeep of lobbies, restrooms, and public areas
  • Help clients schedule and coordinate appointments
  • Assist clients with completing necessary paperwork and forms
  • Assist clients in paying for Oasis services
  • Facilitate client-therapist communication
  • Communicate essential client information to other team members
  • Manage calls, take messages, and retrieve voicemail
  • Distribute faxes and mail as required
  • Safeguard client's protected health information as required by HIPAA and Therapeutic Oasis policies and procedures
  • Maintain updated client information, including addresses, phone numbers, and insurance plans
  • Scan client paperwork to EHR
  • Be familiar with Therapeutic Oasis emergency operation policies and procedures
  • Assist and support other team members in their efforts to provide exceptional service and care to every client

Requirements:

  • Demonstrate professionalism and compassion in all aspects of their presentation
  • Have 2 or more years of customer service and/or medical office experience
  • Possess excellent writing and communication skills
  • Possess excellent computer skills
  • Effectively organize and manage multiple tasks
  • Be highly skilled in Microsoft Word
  • QuickBooks experience a plus
  • Knowledge of insurance billing a plus
  • Be authorized to work in the United States
  • Be willing to work occasional shifts in the Jupiter office
