We are seeking a highly skilled and experienced Senior Event Manager to join our team at Oak View Group. As a key member of our event production team, you will be responsible for overseeing the planning, coordination, and execution of large-scale events, including concerts, sports events, and special events.
Key Responsibilities- Lead and direct event production teams to ensure exceptional event experiences
- Recruit, hire, and train full-time staff in the department
- Manage event scheduling and assignments for Event Managers
- Maintain the Arena Calendar for internal departments
- Develop relationships with key stakeholders, including Live Nation, University of Texas Athletics, and third-party promoters
- Approve final invoices and manage event budgets
- Oversee event operations, including stagehands, audio and visual, show runners, police, security, and medical staffing
- Manage event planning, budgeting, and coordination before, during, and after assigned events
- Work with Senior Events Manager to ensure compliance with laws, codes, ordinances, policies, and procedures
- Communicate event-related information to departments, vendors, and stakeholders
- Develop and maintain effective working relationships with clients, partners, and stakeholders
- Meet with client groups to plan and organize assigned events and meetings
- Guide clients in preparation of events by interpreting and explaining contract provisions, policies, and procedures
- Prepare cost estimates and monitor final billing for assigned events
- Provide clear, concise, and timely communication of detailed requirements to all departments
- Resolve problems in a timely manner and analyze and gather information to identify alternative solutions
- Monitor and supervise facility setup and create AutoCAD drawings for events
- Serve as primary liaison between clients and facility departments for assigned events
- Manage the creation and formal submittal of AutoCAD drawings to the local fire marshal office for events
- Work extended and/or irregular hours at Moody Center events, including nights, weekends, and holidays as needed
- Bachelor's degree from an accredited college or university in public assembly facility management, hospitality management, business administration, or a related field
- 5-7 years' experience in large sports and/or music entertainment management and production
- Experience placing stagehand, audio & visual, show runners, police, security, and medical staffing calls for large-scale events and sporting events
- Experience dealing with third-party vendors for gases, heavy machinery, catering, and furniture/equipment rentals
- Experience with AutoCAD
- Training in Active Shooter, Bomb Threats, and Severe Weather
- First Aid, CPR, and AED Certified
- Knowledgeable in ADA code and compliance
- Knowledge of budget preparation and control
- Adaptable with the ability to work under pressure to meet deadlines
- Strong verbal and written communication skills, with an expert ability to present and communicate new ideas and concepts
- Extremely organized and detail-oriented, resourceful, quick learner, and able to handle multiple projects simultaneously
- Ability to work well in a team-oriented, fast-paced, event-driven environment
- Excellent customer service skills
- Knowledgeable and proficient with Microsoft Office applications, Payroll Systems, and Photoshop
