Position Overview
We are looking for a dedicated Reception Operations Coordinator to become part of our team in Colorado Springs, CO. This role requires on-site presence, operating Monday through Friday, with no options for hybrid or remote work.

Key Responsibilities

  • Welcome and assist patients and visitors with a warm and professional demeanor.
  • Manage incoming phone calls and route them to the appropriate department or personnel.
  • Coordinate appointment scheduling and oversee the appointment calendar.
  • Confirm patient insurance details and collect co-payments as necessary.
  • Maintain and update patient records accurately.
  • Support administrative functions such as filing, faxing, and scanning documents.
  • Process incoming and outgoing mail/faxes while obtaining pre-authorizations.
  • Ensure the reception area is tidy and well-organized.

Qualifications

  • Required: Prior experience as a receptionist.
  • Preferred: Experience in a healthcare setting, particularly in mental health or related fields.
  • Preferred: Familiarity with electronic health record (EHR) systems.
  • Ability to efficiently manage various administrative tasks.
  • Strong customer service skills with an emphasis on delivering excellent patient care.
  • Understanding of electronic recordkeeping systems for effective data management.
  • Proficiency in operating multi-line phone systems and managing high call volumes.

Education and Experience

  • Minimum of 2 years of experience in a front desk receptionist role.
  • Comfortable working in a fast-paced environment.
  • Exceptional customer service skills.
  • A collaborative team player.

Work Schedule

  • Monday to Friday (8 AM to 5 PM)
  • No evening shifts
  • No weekend shifts
  • Expected hours: Up to 40 per week
