About the Position:

The local Research Administration at George Mason University provides post-award research administration services to faculty members.

The Senior Research Administrator within the College of Science is tasked with overseeing post-award activities for a designated portfolio of grants and contracts across one or more units (e.g., school, department, division, institute, or center). This role requires a thorough understanding of grant and contract management regulations, technical expertise, and analytical capabilities. Responsibilities include regular financial review, reconciliation, and forecasting of award finances, preparing budget adjustments and corrections, generating financial reports, and ensuring compliance with all financial requirements upon award closure.

Responsibilities:

The Senior Research Administrator will manage post-award activities for an assigned portfolio of grants and contracts, leveraging knowledge of grant and contract management regulations, technical expertise, and analytical skills. Upon award acceptance, the Senior Research Administrator will establish account parameters, including billing and reporting requirements, budget, and cost-sharing obligations. The incumbent will apply federal and university regulations to effectively manage effort allocation for individuals compensated fully or partially from federal awards.

Key post-award activities include:

Regular review, reconciliation, and forecasting of award finances; Preparing adjustments and corrections to award budgets; Generating financial reports; Ensuring all financial requirements are met and awards are closed out in a timely manner; Providing high-quality customer service to faculty members engaged in sponsored research, ensuring adherence to quality standards and all policies and award regulations.

Additional responsibilities encompass:

Managing budget, reporting, and compliance timelines throughout the lifecycle of the grant or contract; Completing financial reports for sponsors as required by award terms; Assisting Principal Investigators with non-financial report submissions; Coordinating requests for No Cost Extensions, Carryover, rebudgeting requests, and changes in scope, ensuring compliance with sponsor guidelines and University policies; Facilitating invoice approvals for subcontractors; Reviewing effort reports and managing the quarterly effort certification process for assigned units; Assisting in the transfer of awards out of the university.

The Senior Research Administrator may also take on informal leadership responsibilities within the College unit, including:

Overseeing a team of Post-Award Specialists and providing guidance and support; Monitoring workload distribution and addressing concerns with the administrative lead; Collaborating with the research administrative lead on pre-award activities and issue resolution; Ensuring quality in all staff activities and maintaining strong customer service levels for faculty and departments served; Coordinating inter-team meetings to facilitate collaboration between pre-award and post-award teams as necessary.

Required Qualifications:

High school diploma or equivalent; Significant progressive experience in grants and contracts management (typically 5+ years); Knowledge of federal regulations related to research grant and/or contract activities; Ability to manage and prioritize multiple projects/tasks simultaneously and handle a large volume of complex awards; Strong communication skills to interact effectively with senior leadership and colleagues; Familiarity with financial processes and controls, including reconciliation; Excellent oral and written communication skills and a customer service orientation; Strong organizational and analytical skills, problem-solving abilities, and attention to detail; Capacity to work independently with minimal supervision; Ability to mentor personnel for professional development; Proficient in computer use, particularly with MS Office Suite (Word, Excel, PowerPoint).

Preferred Qualifications:

Bachelor's degree in a closely related field or relevant combination of education and experience; Experience in Sponsored Programs Administration or a related field is preferred; Familiarity with University processes, systems, and offices involved in grant and contract submission management; Knowledge of the Banner Financial system or demonstrated ability to learn complex electronic systems related to grants and contracts management.
