Job Title: Event Planner for the Commonwealth of Virginia

We are seeking a highly organized and detail-oriented Event Planner to join our team at the Sorensen Institute for Political Leadership. As an Event Planner, you will be responsible for coordinating and executing educational programs and events, ensuring seamless logistics and exceptional experiences for participants.

Key Responsibilities:
  • Coordinate event planning, including venue selection, catering, and audiovisual equipment
  • Manage event budgets, negotiate with vendors, and ensure timely payments
  • Develop and implement event marketing strategies to promote programs and events
  • Collaborate with program associates to communicate event details, entry procedures, and security measures
  • Ensure compliance with procurement and purchasing procedures, managing budgets and tracking expenses
  • Anticipate and plan for recurring events, reviewing previous procedures, materials, and attendance trends
  • Manage event invitation and reply processes, including invitation lists, response systems, and communication with invitees
  • Implement event registration procedures, tracking systems for participant information, ticket sales, publicity, and attendee profile management
  • Oversee accounting, sales, allocation, distribution, and revenue generated from ticket sales for larger events
Requirements:
  • Bachelor's degree in a related field, such as event management, hospitality, or public policy
  • At least one year of experience in project or event management
  • Strong organizational and communication skills, with attention to detail and ability to work independently
  • Ability to work calmly and professionally in pressure situations
  • Valid driver's license and willingness to travel occasionally
