Job Summary

United States Cold Storage is seeking a skilled Leave of Absence Specialist to join our Human Resources team. As a key member of our team, you will play a critical role in ensuring compliance with federal and state laws related to employee leaves, including FMLA, ADA, and Workers' Compensation.

Key Responsibilities
  • Coordinate and administer company leaves of absence, including FMLA, ADA, Military, Jury Duty, Bereavement, and Company leaves.
  • Serve as the central point of contact for the leave of absence process, ensuring compliance with company policies and procedures.
  • Process, track, and organize leave of absence approvals and denials, communicating with Regional HR Managers as needed.
  • Provide guidance and support to employees, HR Managers, and Payroll on leave-related matters.
  • Subject matter expert for all ADA cases, evaluating and making decisions on accommodation requests in compliance with company policy and regulations.
  • Monitor leave of absence and disability requests, communicating with the payroll department regarding short-term disability approvals and payment.
  • Work closely with the Risk Manager to monitor Workers' Compensation leaves in coordination with FMLA.
  • Serve as the internal contact for escalated claim issues and inquiries, seeking timely resolution.
  • Maintain and update timekeeping systems and payroll records for approved leaves.
  • Ensure the collection of employee benefit premiums through payroll withholdings or direct billing while on paid leave of absence.
  • Communicate effectively with employees regarding STD and LTD benefits, processing benefit changes and monitoring disability cases.
Requirements
  • Bachelor's Degree
  • 2-3 years of prior office and/or administrative experience, including experience with leave of absence (FMLA, ADA, Workers' Compensation, and disability)
  • Proficient in basic software applications (e.g., Microsoft Suite)
  • Strong planning, organizing, and problem-solving skills, with excellent written and oral communication skills
  • Able to work independently and make decisions with prescribed limits on procedure-oriented operations
  • Handle multiple high-priority tasks in a fast-paced environment, maintaining confidentiality and professionalism
