Department: Administration and Operations
Summary:
- The Procurement Specialist plays a vital role in ensuring efficient purchasing and vendor management activities within the Penn Primary Care and Penn Specialty Practices.
Key Responsibilities:
- Act as the primary contact for issues related to returns and receipts.
- Facilitate the resolution of invoice discrepancies for the practices, including addressing credit holds and receipt issues.
- Assist with McKesson statements and manage EDI holds, updating necessary purchase orders as required.
- Support daily operations concerning Invoiced Not Received (INR) issues related to Blanket and Standing orders.
- Provide assistance to customers and end-users regarding INR Blanket and Standing Orders.
- Collaborate with Accounts Payable to ensure proper invoice matching and resolution.
- Help requestors in liaising with vendors for order status and tracking updates.
- Engage with vendors to resolve INR issues effectively.
- Work closely with the Received Not Invoice (RNI) team to address any conflicting matters.
- Utilize Lawson INR reports to monitor and enhance the management of discrepancies.
- Support the RNI team with relevant reports and assist with unreleased receivers.
- Serve as a liaison for generating system reports.
- Communicate backorder issues to requestors and assist in finding suitable substitutes.
Qualifications:
- High School Diploma or GED with a minimum of 5 years of experience in an administrative or operational support role within a medical office is required.
- A Bachelor’s degree in Arts or Science along with 2+ years of experience in procurement or supply chain management is preferred.
