Job Summary

The Client Service Administrator plays a vital role in delivering exceptional support to our advisors and clients. This position requires a high level of organization, attention to detail, and excellent communication skills to ensure seamless day-to-day operations.

Key Responsibilities
  • Provide timely and accurate support to clients and advisors, responding to inquiries and requests in a professional manner.
  • Coordinate office administration, ensuring efficient operations and maintaining a high level of organization.
  • Develop and maintain strong relationships with clients, advisors, and vendors to deliver exceptional customer service.
  • Assist in preparing and organizing client meetings, including preparing financial plans, annual reviews, and other client materials.
  • Process new business and client maintenance requests, maintaining accurate data in our CRM database and client fee billing systems.
  • Stay up-to-date with industry best practices and compliance rules and regulations, committing to continuous education and professional development.
  • Collaborate with the team to develop and maintain business processes and operational workflows, including policies and procedures.
  • Ensure system backups are completed on a routine basis.
Requirements
  • 1-3 years of customer service or administrative support experience, preferably in the financial services industry.
  • FINRA registrations – SIE, Series 7, Series 66, or willingness to start the process within six months of employment.
  • Proficiency with Microsoft Office Suite and ability to learn new software quickly.
  • Strong professional verbal and written communication skills, with the ability to foster open and honest communication.
  • Personable, approachable, and positive attitude, with a focus on providing service excellence.
  • Ability to work effectively as part of a team and independently with minimal supervision.
  • Excellent problem-solving, time management, attention to detail, and prioritization skills.
  • Ability to maintain confidentiality, exercise discretion, and make sound judgments.
