Job Summary

We are seeking a highly skilled and experienced Corporate Board Administrator to provide exceptional support to our board of directors and senior management team. The successful candidate will be responsible for managing board meetings, preparing meeting materials, and maintaining accurate records.

Key Responsibilities
  • Board Meeting Support
    • Coordinate and plan board meetings, including agendas, minutes, and follow-up actions.
    • Prepare and distribute meeting materials, including reports, resolutions, and other relevant documents.
    • Ensure accurate and timely recording of meeting minutes and actions.
  • Administrative Support
    • Provide administrative support to senior management and the board of directors, including scheduling meetings, preparing correspondence, and handling travel arrangements.
    • Assist with the development and implementation of corporate governance policies and procedures.
    • Maintain accurate and up-to-date records of board meetings, actions, and decisions.
  • Communication and Coordination
    • Communicate effectively with board members, senior management, and other stakeholders to ensure seamless coordination and execution of board-related activities.
    • Develop and maintain relationships with key stakeholders, including board members, senior management, and external partners.
Requirements
  • Education
    • High School Diploma or equivalent required.
  • Experience
    • Minimum of four years secretarial and/or executive administrative experience supporting C-Suite level executives or board of directors.
  • Skills
    • Professional and excellent interpersonal communication skills.
    • Strong writing and proofreading skills for preparing correspondence, minutes, notices, agenda scripts, and committee chairman reports.
    • Ability to work well under pressure, meet deadlines, and handle multiple projects simultaneously.
    • Excellent time management and organizational skills.
    • Must be detail-oriented; accuracy is required.
Preferred Qualifications
  • Certifications
    • Certified Administrative Professional (CAP), Professional Legal Secretary (PLS) or Certified Legal Secretary Specialist (CLSS) desired.
  • Specialized Skills
    • Accounting skills and attention to detail for assisting in administering accounts payable function.
    • Must be technologically savvy and be willing to explore alternative technical solutions; Proficiency in MS Excel, Word, PowerPoint, and Adobe Acrobat Pro.
Work Environment

The successful candidate will be required to travel approximately five off-site meetings per year, which may require Sunday travel and overnight stays at meeting locations. Some overtime may be involved when traveling for off-site meetings and occasionally when preparing for meetings.
