As a key member of the Tax Department, you will provide high-level administrative support to the Vice President and collaborate closely with other Executive Assistants to ensure seamless coordination at the executive level.

Key Responsibilities
  • Manage the Vice President's communications, correspondence, and calendar, ensuring smooth coordination of meetings and events.
  • Coordinate travel arrangements, prepare expense reports, and ensure timely submission for the Vice President and department leaders.
  • Organize departmental meetings and events, both on-site and off-site, in collaboration with the management team.
  • Act as the office manager, overseeing office supplies, mail distribution, and facility maintenance.
  • Facilitate onboarding and offboarding processes for department employees.
  • Create and manage IT and maintenance requests, following up on progress to completion.
  • Liaise with external departments and companies to ensure efficient departmental operations.
  • Assist with budget planning, special projects, and departmental initiatives.
  • Maintain confidentiality and adhere to all safety policies and site regulations.
Requirements
  • Bachelor's degree preferred.
  • 5+ years of administrative experience, including at least 2 years supporting executives.
  • Proficiency in Microsoft Word, Excel, and PowerPoint; SAP experience preferred.
  • Experience in event and meeting planning.
  • Expertise in calendar management and domestic/international travel arrangements.
  • Ability to manage multiple tasks simultaneously with strong prioritization and time management skills.
  • Written and verbal communication skills, with the ability to interact in an international environment.
  • Capable of maintaining confidentiality and building strong internal relationships.
