Position Summary

The Accounts Clerk, under the guidance of the Accounting Supervisor and Accounting Manager, will undertake a variety of standard accounting clerical responsibilities in the domains of accounts payable and accounts receivable, as well as other accounting department functions as needed. This role necessitates significant interaction with various staff members and management, who may be involved in the procurement and receipt of goods or services, in addition to some engagement with customers utilizing credit card transactions. The Accounts Clerk will also serve as the primary backup for the receptionist during breaks, lunches, vacations, and other absences.

Key ResponsibilitiesAccounts Payable
  1. Match receiving documents, purchase orders, and invoices in preparation for processing.
  2. Investigate and resolve discrepancies, prepare schedules, and support purchasing activities. Code and enter invoice packages into the accounting system.
  3. Select invoices for payment processing.
  4. Execute check runs and attach invoice packages to checks.
  5. Prepare manual checks as necessary.
  6. Code and enter data into the accounting system.
  7. Assist in reviewing vendor statements against accounting system information and resolve discrepancies or omissions.
  8. Support annual 1099 preparation.
  9. Conduct research and prepare analyses as required by management.
Accounts Receivable
  1. Prepare daily sales invoices for distribution.
  2. Provide backup for coding and entering sales invoices and payments.
  3. Update customer master files as necessary.
  4. Assist in the preparation and posting of daily cash receipt deposits.
  5. Support processing of credit card sales by liaising with customers as needed.
  6. Gather necessary information to prepare fax authorizations, transmit authorizations, and track responses.
  7. Post authorizations and final sales to the credit card processing system.
  8. Prepare and distribute credit card reports.
Receptionist Backup
  1. Act as the primary backup receptionist during breaks, lunches, vacations, and illnesses as required.
  2. During peak seasons, arrangements will be made to cover these duties with other personnel when necessary.
Additional Accounting Support
  1. Provide backup for sending, maintaining logs, and distributing faxes.
  2. Follow up on any daily/weekly faxes that are not received.
  3. Receive daily employee and production schedules.
  4. Maintain inventory schedules and shopping lists, and inform personnel of fax receipts.
  5. Prepare monthly sales reports and reconcile them with accounting system sales reports and production system shipping reports.
  6. Calculate costs for alcohol work orders and summarize costs in a monthly report. During peak seasons, arrangements will be made to cover these duties with other personnel when necessary.
  7. Enter grower weigh tags into commodity systems, generate reports, and reconcile totals.
  8. Produce and distribute daily production reports.
  9. Cross-train for other tasks within the department.
Qualifications

Education and Experience

A high school diploma or GED is required. An AA degree or equivalent is preferred, along with two years of related experience. Proficiency in Microsoft Word, Excel, and other computer applications is desirable.

Language Skills

Ability to read and interpret documents such as safety rules, operating instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to effectively communicate information verbally and in writing.

Mathematical Skills

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages. Ability to apply basic algebra and geometry concepts.

Reasoning Ability

Ability to solve practical problems and deal with various concrete variables in situations with limited standardization. Ability to interpret a variety of instructions in written, oral, diagram, or schedule form. Ability to define problems, collect data, establish facts, and draw valid conclusions.

Other Requirements

Intermediate or higher proficiency in word processing and spreadsheet applications. Intermediate or higher experience with Internet search engines. Basic or higher experience with database management applications. Typing speed of 40 words per minute or more and proficiency in ten-key by touch.
