Role Overview:
The Case Manager will play a crucial role in supporting clients with the management of their patent portfolios, overseeing the daily operations related to patent prosecution.

Key Responsibilities:
  • Manage client relationships for multiple significant clients, including:
    • Understanding client instructions and procedures;
    • Acting as the primary contact for internal matters and client communications;
    • Opening patent matters and guiding docket staff on deadlines;
    • Preparing and distributing client reports;
    • Assigning new Office Actions/applications to attorneys;
    • Monitoring the progress of responses/applications;
    • Reviewing client dockets and following up as necessary;
    • Preparing and analyzing budgets;
    • Coordinating foreign filings;
    • Maintaining internal pipeline reports and databases.
  • Assist in the preparation of new patent applications for filing, including various types of applications.
  • Review Notices of Allowance, ensuring completeness before the payment of Issue Fees.
  • Ensure accurate client file structures are established in the document management system.
  • Facilitate scheduling of Examiner interviews.
  • Regularly review client dockets and provide updates to the docket staff.
  • Review and edit pre-bills, ensuring timely monthly billing in accordance with deadlines.
  • Support client-related projects as needed.
  • Oversee the transfer of patent matters into the firm and collaborate with the Office Administrator for timely transfers out of the firm.
  • Assist in training and mentoring new patent staff members.
  • Provide backup support to other Patent Case Managers as required.
  • Foster teamwork with support staff, attorneys, and administrators.
  • Engage in firm training opportunities and assist in the training of other employees.
  • Adapt to changes and incorporate them into daily operations.
  • Work effectively in a remote setting, ensuring timely completion of tasks while maintaining communication with team members.
  • Document daily tasks accurately.
  • Perform other duties as assigned.
Required Skills and Qualifications:
  • Exceptional client service skills, maintaining a professional demeanor in all interactions.
  • Bachelor's degree required, with a minimum of 6 years of experience in patent prosecution and 4 years managing multiple large clients.
  • Familiarity with client processes and databases.
  • Knowledge of patent-related laws and regulations.
  • Experience in reviewing and reconciling patent dockets.
  • Proficiency in relevant software applications, including Microsoft Office and docket management systems.
  • Strong analytical and organizational skills, with attention to detail.
  • Ability to communicate effectively and diplomatically with various stakeholders.
  • Capability to manage multiple priorities efficiently.
  • Commitment to continuous learning and skill enhancement.
Work Environment:
This position offers a hybrid work opportunity.
Schedule: Full-time, Monday through Friday.
