Responsibilities
  • Process correspondence and packages received by the company.
  • Collaborate with colleagues to ensure document consistency and accuracy.
  • Provide employee training on document usage and management.
  • Organize documents throughout the organization to ensure easy access and timely delivery.
  • Work with team members to ensure that documents are well-organized and easily accessible.
  • Perform tasks related to mailroom operations, including receiving and removing mail from bins.
  • Sort and process correspondence received for clients and the firm.
  • Load mail onto automated equipment and monitor flow to ensure continuous feed and proper scanning.
  • Contact clients to inform them about mail received and confirm their preferred method of delivery.
  • Record conversations with clients and outcomes of calls.
  • Mail out correspondence for clients, creating labels and ensuring accurate delivery.
  • Work with colleagues to ensure consistency of documentation practice across the company.
  • Train employees on efficient correspondence processing management.
  • Ensure documentation integrity and control access to documents.
Qualifications
  • Proven experience in administrative, back office operations, or a similar role.
  • Strong leadership and management skills, with the ability to motivate and inspire a team.
  • Excellent communication and interpersonal skills, with the ability to collaborate with internal stakeholders.
  • Analytical mindset with the ability to analyze data, identify trends, and make data-driven decisions.
  • Proficiency in back office software, data management systems, and other relevant tools.
  • Strong problem-solving and decision-making abilities, with the capacity to handle complex situations.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Proficiency in using computer systems, including Microsoft Office Suite and data entry software.
  • Excellent attention to detail and data accuracy, with the ability to identify errors and make necessary corrections.
  • Flexibility and adaptability to changing priorities and business needs.
  • Commitment to maintaining confidentiality and handling sensitive information with integrity.
