Job OverviewWe are seeking a highly motivated and detail-oriented Client Services Agent to join our team. As a key member of our client services team, you will be responsible for enrolling, educating, and supporting clients throughout their lifecycle with our organization.
Key Responsibilities- Support clients during their enrollment process, ensuring a seamless and efficient experience.
- Process related paperwork and manage electronic communication, maintaining accurate records and meeting deadlines.
- Establish and foster relationships with clients and program contacts, including third-party organizations.
- Stay up-to-date on program rules, regulations, and implementation needs, effectively communicating and explaining these to external and internal stakeholders.
- Act as a communication liaison between clients and across all departments, addressing opportunities and issues that may impact clients or the organization.
- Provide accurate day-to-day support to clients, resolving inquiries within contractual timeframes.
- Ensure compliance with state and federal guidelines, managing escalated issues with client families and states within contractual timeframes.
- Develop strategies to support the growth of existing programs through marketing, education, and community outreach.
- Collaborate with internal departments to address issues effectively in a verbal and written fashion.
- Manage a fluctuating volume of calls and emails, providing effective and efficient customer service.
- Work flexible hours, including occasional weekends, weeknights, and holidays, to meet client needs.
- At least one year of experience with data entry and manual keying in of information into databases.
- Ability to work independently with limited supervision and as a self-starter with effective communication skills.
- Experience in customer service and/or client relations, with the ability to handle fluctuating inbound and outbound call volume.
- Flexibility to work a flexible schedule, including weekends, weeknights, and holidays.
- Knowledge and experience using Microsoft Word, Excel, PowerPoint, Internet, Email, and use of PDFs.
- Patience, perseverance, and follow-through mentality, with excellent organizational skills, time management, and task orientation.
- Ability to communicate both orally and in writing in a professional manner, with attention to detail and critical thinking skills.
- High standard of integrity, with the ability to handle responsibility with limited supervision.
- Ability to use basic math skills and demonstrate excellent interpersonal communication skills.
- Ability to plan for and meet multiple deadlines, with a high school diploma or equivalent and some college preferred (or equivalent work experience).
