About the Role

As a Workforce Scheduling Manager at CSMN Operations, LLC dba All Points North, you will play a vital part in overseeing and managing scheduling operations across multiple departments and locations.

This role requires optimizing scheduling processes, ensuring compliance with organizational standards, and fostering collaboration across teams to maintain efficient scheduling solutions.

You will lead, mentor, and guide direct reports to achieve scheduling goals, including developing and implementing standardized scheduling guidelines and deadlines.

Daily Responsibilities
  • Communicate scheduling updates, changes, and cancellations promptly via email updates and meetings.
  • Troubleshoot and resolve scheduling discrepancies or conflicts in coordination with involved departments.
  • Manage and maintain accurate records of daily schedules, group sessions, client appointments, and room assignments.
  • Track daily attendance sheets detailing groups, clients, facilitators, and room assignments.
  • Update the tracking system with essential client information and preferences.
  • Manage specialty group assignments and therapist caseloads.
  • Create individual schedules for newly admitted clients.
  • Schedule appointments as requested by specific personnel.
  • Maintain and update group room locations daily.
  • Monitor room requests/usage for trainings, meetings, and groups to prevent double booking.
  • Manage Zoom information and communication with therapists.
  • Address scheduling inquiries from various departments and handle rescheduling requests.
  • Schedule individual appointments for clinicians, coordinating with their caseloads.
  • Manage group sessions in KIPU, including holiday programming.
  • Input scheduled groups and appointments for assessment clients.
  • Monitor and allocate Paid Time Off (PTO) for facilitated groups.
  • Lead a weekly Facilitator's Schedule meeting to discuss PTO and coverage.
  • Assign clients to weekend groups and ensure balanced group numbers.
  • Coordinate scheduling adjustments for clients transitioning between RTC and PHP.
  • Maintain historical attendance records for backup purposes.
  • Track professional staffing and client scheduling patterns.
  • Provide mentorship and support to the Scheduling Coordinator, helping them to develop professionally and assume key responsibilities within the scheduling process.
Monthly/Quarterly Responsibilities
  • Develop mock schedules for the APN Client Handbook and organizational planning purposes.
  • Generate regular scheduling reports to track trends, compliance, and performance metrics.

We offer an estimated salary range of $80,000 - $110,000 annually, depending on experience and qualifications.
