Position Overview:
The individual in this role will provide comprehensive administrative assistance to two senior executives, ensuring efficient management of their daily activities. Responsibilities include calendar oversight, expense management, meeting organization, travel arrangements, and additional administrative tasks. This position also involves collaboration with the Music and Podcast teams to facilitate key content initiatives, gather and relay important insights, and assist the broader marketing team with asset distribution, communications, logistics, and more.
Key Responsibilities:
- Provide administrative support to two senior executives, including calendar management, expense tracking, travel coordination, and team logistics.
- Gather, consolidate, and organize materials for review by internal and external stakeholders.
- Act as the primary contact for operational needs within the team.
- Document meeting notes for essential marketing discussions.
- Coordinate marketing assets across various channels, collaborating with artist marketing to ensure effective promotion of music.
- Engage with business teams, fellow administrators, and executives as necessary.
- Oversee priority calendars and manage project timelines.
- Utilize tools for creating codes related to music-centric programs.
- Generate tracking links for reporting on marketing campaigns.
Qualifications:
- A minimum of 2 years of experience in support roles within the entertainment or marketing sectors.
- Exceptional organizational skills, keen attention to detail, and the ability to manage multiple tasks in a dynamic environment.
- Proven track record of meeting deadlines and demonstrating initiative in decision-making.
- A proactive attitude, with a willingness to tackle tasks of varying complexity.
- Strong written and verbal communication skills, along with a high level of professionalism.
- Ability to influence others, manage conflicts effectively, and know when to escalate issues.
- Experience in entertainment marketing is advantageous.
- Familiarity with onboarding new employees and training team members.
- Direct experience handling sensitive and confidential information with integrity and discretion.
- Proficient in managing calendars, scheduling meetings, arranging travel, and processing expense reports.
- Ability to prioritize tasks, adapt quickly, and maintain flexibility.
- A passion for the entertainment industry.
- Results-oriented mindset, capable of thriving under pressure, with a strong desire to learn and succeed.
- A willingness to grow and contribute to the team's success.
- Proficiency in creating presentations using Keynote and strong presentation skills.
