The Patient Registration Specialist plays a crucial role in the registration process for all patients visiting St. Luke's for outpatient services and emergency care. This position requires a consistent demonstration of our organization’s commitment to customer service. The specialist will assist all clients, both internal and external, by providing precise information, guidance, and addressing requests in alignment with hospital policies. Responsibilities include, but are not limited to, collecting and accurately entering patient data into the Epic system, focusing on insurance verification, processing orders, and managing point-of-service payments. Patient Registration Specialists will communicate effectively with all hospital departments and ensure follow-through until patient care is completed.
KEY RESPONSIBILITIES:
- Welcome and guide patients and visitors throughout the facility, ensuring a friendly and professional atmosphere.
- Provide accurate information and respond to inquiries regarding the facility and its offerings.
- Collaborate effectively with all departments to fulfill customer needs, overseeing patient flow and throughput for the facility and its satellite locations.
- Answer phone calls with the appropriate greeting, assist or direct callers to the relevant department, and accurately document verbal requests.
- Utilize the Epic application (Systoc where applicable) to create Hospital Account Records (HAR) and enter detailed demographic and clinical service information.
- Maintain clear and concise notes in the hospital's computer system to track patient account activities and facilitate downstream claims processing.
- Contact Primary Care Physicians and/or Financial Representatives to secure necessary insurance referrals and pre-certifications as needed.
- Stay informed about current insurance regulations, trends, and network policies, and verify patient benefits with insurance companies when required.
- Conduct online eligibility checks for insurance/self-pay; if unavailable, contact insurance providers for verification.
- Identify, collect, and document self-pay liabilities, co-pays, and deductibles at the time of registration. Process credit card payments in Epic or Trust Commerce, collect cash, and prepare daily deposits.
- Accurately transcribe all outpatient testing orders, whether written or electronic.
- Maintain a thorough understanding of policies and procedures related to Revenue Cycle.
- Demonstrate proficiency in Epic and other required hospital applications necessary for job functions.
- Manage the sign-in registry for vendors and clergy, providing necessary information as needed.
- Assist in training new hires (Preceptor) and volunteers within the department.
- Provide information or materials related to Network Registration processes to other hospital departments and physician offices.
- Gather data and documents essential for generating clean registrations/claims by conducting interviews with patients before and after their testing. This process supports efficient claim processing and enhances patient satisfaction.
- Address minor patient/visitor concerns promptly and notify department leadership or Nursing Supervisors of any significant complaints.
PHYSICAL AND SENSORY REQUIREMENTS:
Ability to sit for extended periods, frequent use of hands for data entry, occasional walking, and the capacity to push up to 250 pounds in a wheelchair. Ability to lift or carry up to 10 pounds occasionally. Adequate hearing for normal conversation and vision for general tasks.
EDUCATION:
High school diploma or equivalent is required.
TRAINING AND EXPERIENCE:
Strong customer service and interpersonal skills are essential (experience in an office setting preferred). General computer skills with data entry experience are required. Background in insurance is preferred, along with knowledge of medical terminology.
