Position: Admissions Coordinator

Overview

The Admissions Coordinator plays a vital role in supporting the Admissions Director to ensure a smooth and effective admissions process. This position is responsible for the prompt completion of admission documentation, facilitating communication, and coordinating with referral sources and outreach teams. In the absence of the Admissions Director, the Admissions Coordinator will oversee all admission-related functions, focusing on increasing census, referrals, and admissions while ensuring the department is sufficiently staffed.

Authority and Responsibilities

As the Admissions Coordinator, you will be granted the necessary administrative authority, responsibility, and accountability to execute your assigned tasks effectively. You will report directly to the Admissions Director.

Key Responsibilities

  • Provide coverage for the Admissions Department when the Admissions Director is unavailable.
  • Assist the Admissions Director with departmental tasks and responsibilities.
  • Participate in Morning Report meetings as directed by the Director or Administrator.
  • Complete daily census reports and End of Day summaries.
  • Communicate all admissions-related updates to the interdisciplinary team.
  • Prepare and maintain admission agreements for all new patients.
  • Conduct regular audits to ensure compliance with necessary regulations and maintain accurate logs.
  • Manage referral sources effectively, ensuring timely responses to inquiries.
  • Perform data entry and maintain records in the designated systems.
  • Collaborate with marketing and outreach teams to optimize admissions and census growth.
  • Engage with families to convert referrals into admissions, emphasizing the facility's strengths.
  • Stay informed about the facility's clinical capabilities and policies to communicate effectively with stakeholders.
  • Understand and manage insurance and financial aspects related to admissions.
  • Answer inquiries and assist with insurance-related questions.
  • Maintain a daily list of hospitalizations and communicate updates to relevant teams.
  • Prepare for admissions by coordinating with unit staff and ensuring room readiness.
  • Support the outreach team with promotional materials and event participation as needed.
  • Send out notifications regarding admissions.
  • Collect and verify necessary information from families during the intake process.
  • Conduct facility tours for prospective families.
  • Report any concerns regarding departmental functions to the Admissions Director.
  • Complete administrative tasks, including necessary documentation and reports.
  • Perform additional duties as assigned by the Admissions Director or Administrator.

Qualifications

  • High school diploma or GED required; Bachelor's degree preferred.
  • Prior experience in admissions within healthcare settings is preferred.
  • Experience in a leadership role is advantageous.

Specific Skills

  • Ability to thrive in a fast-paced environment while meeting census targets.
  • Strong support and coaching skills for the admissions and marketing teams.
  • Knowledge of Medicare and insurance regulations.
  • Proficient in English, both written and verbal.
  • Familiarity with EMR systems and standard office software.
  • Capacity to make independent decisions when necessary.
  • Excellent interpersonal skills for effective communication with various stakeholders.
  • Leadership qualities and a collaborative approach to teamwork.
  • Willingness to adopt new methods and practices.
  • Ability to convey information regarding residents' conditions clearly.
  • Professional appearance and adherence to dress code policies.
  • Enthusiastic and motivated, with a commitment to patient rights and protection.
  • Availability for after-hours work as required.

Physical Requirements

  • Ability to move throughout the workday.
  • Must possess adequate sight and hearing or use prosthetics as necessary.
  • Meet health requirements set by the facility, including any medical examinations.
  • Ability to lift items weighing up to 25 pounds as needed.
