Position: Admissions Coordinator

Overview

The Admissions Coordinator plays a vital role in supporting the Admissions Director by facilitating a smooth and effective admissions process. This position is responsible for the timely completion of admission documentation, ensuring clear communication, and coordinating with referral sources and outreach teams. In the absence of the Admissions Director, the Admissions Coordinator will oversee all admission-related activities, focusing on increasing census, managing referrals, and ensuring the department is adequately staffed.

Authority and Responsibilities

As the Admissions Coordinator, you are granted the necessary administrative authority and accountability to fulfill your responsibilities. You will report directly to the Admissions Director.

Key Responsibilities

While this outline covers essential functions, it is not exhaustive. Additional related duties may be assigned as necessary. The Admissions Director may delegate tasks to the Admissions Coordinator as required, and the Coordinator will represent the department in the Director's absence.

  • Provide coverage for the Admissions Department when the Admissions Director is unavailable.
  • Assist the Admissions Director with departmental functions and responsibilities.
  • Participate in Morning Report meetings as directed by the Director or Administrator.
  • Complete daily census reports and end-of-day summaries.
  • Communicate admissions-related information to the interdisciplinary team, including alerts and updates.
  • Maintain and complete admission agreements for all new patients.
  • Conduct regular audits to ensure compliance with necessary regulations and maintain logs.
  • Manage and respond to all referral sources promptly, aiming for a 90% response rate within 15-30 minutes.
  • Perform data entry and maintenance in relevant systems.
  • Facilitate communication with marketing and outreach teams to enhance admissions and census growth.
  • Engage with families to convert referrals into admissions, emphasizing the facility's strengths.
  • Stay informed about facility capabilities, policies, and marketing points to effectively communicate with stakeholders.
  • Understand and manage insurance and financial aspects related to admissions.
  • Handle phone inquiries and assist with insurance-related questions.
  • Maintain a daily hospitalization list and provide updates to relevant teams.
  • Prepare for admissions by coordinating with staff, arranging transportation, and ensuring room readiness.
  • Support the outreach team by managing promotional materials and attending marketing events as necessary.
  • Send out notifications regarding admissions.
  • Collect and verify necessary information from families during the intake process.
  • Conduct facility tours for prospective families.
  • Report any concerns regarding departmental functions to the Admissions Director.
  • Complete all required administrative forms and reports.
  • Perform additional duties as assigned by the Admissions Director or Administrator.

Qualifications

  • High school diploma or GED required; Bachelor's degree preferred.
  • Previous experience in admissions within healthcare settings is preferred.
  • Experience in a leadership role is a plus.
