Key Responsibilities
  • Manage incoming maintenance requests and coordinate repairs with vendors and tenants.
  • Handle invoicing for vendor services and maintain communication with the property manager regarding job statuses.
  • Organize and file tenant paperwork efficiently.
  • Assist tenants with the completion of necessary forms and follow up for signatures.
  • Support the application process by retrieving candidates from the waitlist and assisting with applications.
  • Conduct interviews and perform background and credit checks for new applicants.
  • Show available units to prospective tenants.
  • Answer and return phone calls promptly.
  • Keep the property manager informed about tenant concerns and needs.
  • Submit maintenance requests and communicate with resident services regarding tenant issues.
  • Collect and process rent payments, ensuring accurate documentation.
  • Assist in conducting inspections for move-ins, annual reviews, and move-outs.
Qualifications
  • 1-3 years of experience in an administrative role; property management experience is a plus but not required.
  • Willingness to travel between local properties as needed.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent attention to detail and capability to manage multiple tasks seamlessly.
  • Ability to handle confidential information with discretion.
  • Proven track record of achieving performance goals in a fast-paced environment.
  • Proficient in Microsoft Office Suite (Excel, Word, Publisher) and Adobe Acrobat.
  • Willingness to assist in other departments as required.
